We are seeking a highly skilled and detail-oriented Maintenance Coordinator VA to join our on-site team. You'll be working for a property management company based in Austin. This role is vital to ensuring smooth operations and providing excellent service to our tenants and vendors.

Key Qualifications:

1. Excellent Spoken English Skills (Required):

  • Ability to communicate fluently and professionally with tenants, vendors, and team members.

2. Critical Thinking and Problem-Solving Skills (Required):

  • Capacity to assess unclear or incomplete information and determine the most effective course of action.

3. Team Player (Required):

  • A collaborative mindset with the ability to work effectively in a remote team environment.

4. High Attention to Detail (Required):

  • Strong organizational skills to manage multiple tasks, including utility coordination and detailed record-keeping.

5. High degree of self-sufficiency

Preferred Skills:

  • Familiarity with property management software (e.g., AppFolio) is a plus.
  • Experience in property management or maintenance coordination is advantageous.
  • Proficient in Google suite
  • Strong interpersonal, customer service and communication skills

Key Responsibilities:

1. Work Order Management:


• Review and process incoming maintenance work orders submitted by tenants via AppFolio.


• Analyze and interpret vague or unclear work order descriptions, using critical thinking skills to identify the actual issue.


• Assign work orders to the appropriate vendors based on the nature of the problem (e.g., plumbing, HVAC, electrical).

2. Tenant Communication:


• Communicate professionally with tenants to clarify maintenance requests when descriptions are unclear.


• Exhibit excellent spoken English skills to ensure seamless interactions.

3. Utility Coordination:


• Manage utility accounts for properties, including:


• Ensuring utilities are turned off at vacant properties and turned on when occupied.


• Coordinating with utility companies to resolve any issues.


• Paying utility bills in a timely manner to avoid service interruptions.

4. Collaboration and Teamwork:


• Work closely with the property management team, vendors, and other virtual assistants to ensure tasks are completed efficiently.


• Foster a positive and supportive team environment.

5. Attention to Detail:


• Maintain accurate records of maintenance tasks, vendor assignments, and utility payments.


• Ensure that all maintenance requests are resolved promptly and to high standards.

Schedule: 7 PM to 4 AM (Mon-Fri) - The work schedule will align with U.S. Central Time (Austin, TX) business hours. Remote monitoring is required during after-hours for emergency tickets, including weekends.

Location: Bahria Town Phase 8, Rwp.
