We are looking for a reliable and detail-oriented Virtual Medical Assistant (VMA) to support healthcare providers with administrative and clinical tasks remotely. The ideal candidate will have experience in a medical office or virtual care environment and be well-versed in EHR systems, scheduling, patient coordination, and HIPAA compliance.

Specific Skills

High school diploma required; Associate's or Bachelor's in healthcare or medical administration is a plus.

Minimum 1 year of experience in a medical office, clinical setting, or virtual healthcare environment.

Proficiency with Electronic Health Record (EHR) systems such as eClinicalWorks, Athena, Kareo, or similar.

Strong English communication skills (verbal and written).

Familiarity with HIPAA guidelines and patient confidentiality requirements.

Tech-savvy with knowledge of tools like Google Workspace, Zoom, Slack, and Microsoft Office.

Ability to work U.S.-based hours (CST/EST/PST depending on clinic schedule).

Responsible For

Manage appointment scheduling, cancellations, and rescheduling for patients.

Verify patient insurance and eligibility prior to appointments.

Conduct patient intake calls, collect medical history, and document information accurately in the EHR system.

Handle inbound and outbound patient communications (calls, texts, and emails).

Assist in prescription refills and prior authorizations under physician supervision.

Coordinate referrals, lab tests, imaging, and follow-up care.

Prepare and update patient charts, progress notes, and documentation before provider visits.

Support telehealth sessions by guiding patients with setup and troubleshooting basic tech issues.

Maintain compliance with HIPAA and internal confidentiality policies.

Collaborate with billing, credentialing, and clinical teams as needed.

Additional Requirements

Medical Assistant Certification (CMA/RMA) is a plus.

Experience with U.S. healthcare systems and terminology.

Bilingual (English and [Insert Language]) is a plus.

Experience working with urgent care or primary care practices preferred.
