Manager Employee Experience (Mashreq Global Network Pakistan)

Job Purpose

Employee Experience Manager is responsible for overseeing and managing the organization's payroll process and maintaining the Management Information System (MIS) to ensure accurate and timely payroll operations and data management. The incumbent will ensure compliance with Pakistan's labor laws and tax regulations, while maintaining confidentiality and accuracy in processing employee salaries, benefits, and deductions. The role involves collaboration with PICG, Finance, vendors and other departments to ensure compliance with company policies and legal requirements.

  • Manage the Employee Journey end to end for all payments
  • Manage the payroll end-to-end
  • Oversee the administrative operations in charge of the department's day-to-day function
  • Collaborate closely with Employee Experience team and Head of PICG on processes related to payrolls, payment and policy
  • The administration of payroll and staff benefits ensuring they are within the Bank's/MGN policies and procedures and local employment laws.
  • Ensure compliance with local labor laws, income tax regulations, and any other applicable rules regarding payroll
  • Coordinate with internal PICG functions to support business needs and contribute to bank-wide projects, ensuring alignment with our objectives and maintaining high performance standards across MGN
  • Overall administration of staff benefits like End of Service, Staff loans, Leave HRMS recon, queries, reimbursements etc.
  • Support manage SBP and Statutory requirements for staff reporting
  • Coordinate with the Finance Department to ensure correct accounting and cost allocation of payroll expenses

Key Result Areas

Payroll, EOSB and Payments

  • Prepare and process payroll on a monthly/bi-weekly basis, ensuring accuracy and compliance with relevant regulations and company policies as per agreed timelines
  • Maintain and update employee records related to payroll, including new hires, terminations, changes in pay rates, and deductions.
  • Ensure seamless off-boarding and settlement process and provide all the necessary information and support
  • Ensure all exit process are completed within the time frame
  • Manager and oversee the monthly payroll process with strict adherence to SLAs
  • Ensure EOBI and FBR filing, and PF management is processed on a timely manner
  • Ensure HRMS is up to date and accurate
  • Oversee track and control payroll vendor
  • Oversee track and control benefits, reimbursement, expenses and payment
  • Assist with year-end reporting, including the preparation of tax reports and other required filings
  • Maintain up-to-date records of employee benefits, leaves, and absences
  • Prepare and monitor payroll audits, identifying discrepancies and taking corrective action
  • Maintain payroll, expenses and job-related historical records by creating a tracking and control mechanism and retrieval system, keeping past and current records, and ensuring all employee related documents and records are in line with the local regulations

Reports & System – (Fusion, Payroll, HRMS, Benefit Administration, Reimbursements)

  • Develop and maintain the MIS for employee data, ensuring it is accurate, up-to-date, and secure.
  • Analyze data trends and provide insights to management to support decision-making
  • Prepare payroll reports and ensure accurate reconciliation in regard to gratuity, PF, taxation
  • Ensuring all staff details are captured in Fusion
  • Reconciliation of attrition, benefits and payroll benefits and payments related to PICG/HR
  • Reporting job-related data, and ad-hoc reports for PICG management
  • Provide counseling on PICG policies and procedures.
  • Participate in improvement initiatives within the PICG team

Service Productivity

  • Handling employees' inquiries and responding to them in timely manner
  • Oversee and ensure proper filing of employee records
  • Support in solving employee's issues and provide them with guidance
  • Handle payroll queries and resolve discrepancies in a timely manner
  • Staying up to date with labor laws in Pakistan and SBP

Operating Environment, Framework and Boundaries, Working Relationships

  • Required to interact with staff across all levels in the organization
  • Ensure timely response to customer queries in close coordination with all Group/Divisional coordinators
  • Highly interactive environment requiring effective team working skills

Problem Solving

  • Responsible for guiding employees on all offboarding, Payroll, onboarding, and benefits
  • Prioritize tasks at hand and ensure timelines are met.
  • Ensure accuracy and completeness of data entered on people connect and submitted

Decision Making Authority & Responsibility

  • Policy clarifications and interpretation.
  • Updates to existing policy as per new benefits

Knowledge, Skills and Experience

  • Bachelor's degree in finance, Accounting, Human Resources, or a related field
  • 5+ years of experience in payroll management, ideally in Pakistan
  • Strong knowledge of Pakistan's labor laws, taxation, and employee benefits regulations.
  • Proficient in payroll software and Microsoft Office Suite (Excel, Word, etc.).
  • Exceptional organizational skills and attention to detail
  • Ability to work independently and handle sensitive information with confidentiality
  • Proficiency in managing Oracle, Fusion, EDMS and related PICG applications government applications
  • Strong communication and interpersonal skills - ability to interact and coordinate with staff across all levels
