We are seeking a Project Assistant who will play a crucial role in supporting the administration of projects. The ideal candidate should be highly organized, detail-oriented, and proficient in various software applications such as Word, Excel, PowerPoint, Visio, Smartsheet, and AutoCAD. The candidate should be available to work during North America (West region) working hours.
Key Skills and Qualifications:
- Customer Service: Demonstrate personable and empathetic qualities, with exceptional communication skills. Comfortable in following up with team members.
- Administration: Highly organized, punctual, and proactive in taking charge of tasks.
- MS Word and Excel: Proficient in utilizing both applications.
- Smartsheets: Familiarity with Smartsheet for project tracking and updates.
- AutoCAD: Familiarity with AutoCAD software to review updated building plans and identify any discrepancies with existing files.
- PowerPoint: Proficiency in editing PowerPoint presentation files.
- Work Schedule: Willingness to work during NA (West region) working hours.
Responsibilities:
- Maintain an accurate and up-to-date project list for effective project tracking.
- Conduct thorough reviews of various documentation to ensure its completeness and accuracy.
- Identify and document any discrepancies found in the updated versions of AutoCAD files.
- Identify and document any inconsistencies detected in the updated versions of PowerPoint Presentation files, with the expectation that the candidate will make minor revisions directly to the file, as needed.

- Format Excel sheets according to the Loopio import template, which involves creating multiple files extracted from individual master files.
- Provide timely updates in Smartsheet, incorporating relevant information.
- Conduct daily reviews and updates in Smartsheet to ensure its accuracy and reflect any changes.
- Update Smartsheet PM Schedule to accurately reflect tasks that have been added or completed, ensuring proper record-keeping.
- Maintain team folders and create sub-folders with SEFIS.
