KEY RESPONSIBILITIES

Community:

  1. Be the first and last point of contact for your building
  2. Cover the front desk during business hours
  3. Greet and check-in member guests
  4. Greet people who come in for tours, track walk-ins, schedule tours, and send confirmation emails
  5. Manage all new members sign up and integrate in CRM software
  6. Manage COLABS Member check-ins and check-outs
  7. Prepare and distribute promotional materials to guests/potential members
  8. Answer walk-up member and guest questions or refer inquirers to additional resources
  9. Answering calls and directing them to relevant departments
  10. Ensure all cabinets are managed with updated records
  11. Prepare monthly stationery list and ensure availability
  12. Keep front desk tidy and presentable with all necessary materials (pens, forms, paper, etc.)
  13. Answer all incoming calls and redirect or take messages
  14. Mark attendance daily for COLABS Staff

Membership Management

  1. Develop community initiatives to foster connections among members, including introductions, event support, and communications
  2. Resolve complaints, problems, and requests from tenants to maintain community cohesion
  3. Maintain updated payment records and forward to finance
  4. Inform clients about payment methods and verify billing data
  5. Manage bookings for all bookable rooms
  6. Receive payments for lockers, conference rooms, and meeting rooms for non-members
  7. Manage Lost and Found ledger
  8. Arrange appointments for the team and update calendars

Events and Community Management

  1. Assist with event setup and breakdown, including food and beverage ordering
  2. Perform other tasks as assigned by management

Service:

  1. Manage daily in-house pantry, ensuring availability and freshness of beverages and F&B items
  2. Brief staff daily on hygiene and discuss issues with management
  3. Prepare staff rosters and work schedules
  4. Ensure hygiene and cleanliness of the environment and smooth operations
  5. Monitor performance of housekeeping and staff
  6. Maintain cleanliness, dusting, vacuuming, and utensil washing
  7. Check restrooms and set up for meetings or events
  8. Coordinate with relevant teams on event management and bookings

Administrative:

  1. Assist with move-ins and move-outs, prepare welcome packets
  2. Support building operations and maintenance
  3. Manage keycard activations and access requests
  4. Ensure the building is clean and well-maintained
  5. Coordinate repairs and maintenance with the admin team
  6. Handle receipts, mail, and packages
  7. Identify and escalate issues to the Community Manager

Candidate Profile:

  • Bachelor's in Marketing/Business Administration with 2-3 years of client-facing experience
  • Strong collaborator, excellent communication skills, highly organized
  • High social and emotional intelligence, problem-solving mindset
