Community:
- Be the first and last point of contact for your building
- Cover the front desk during business hours
- Greet and check-in member guests
- Greet people who come in for tours, track walk-ins, schedule tours, and send confirmation emails
- Manage all new members sign up and integrate in CRM software
- Manage COLABS Member check-ins and check-outs
- Prepare and distribute promotional materials to guests/potential members
- Answer walk-up member and guest questions or refer inquirers to additional resources
- Answering calls and directing them to relevant departments
- Ensure all cabinets are managed with updated records
- Prepare monthly stationery list and ensure availability
- Keep front desk tidy and presentable with all necessary materials (pens, forms, paper, etc.)
- Answer all incoming calls and redirect or take messages
- Mark attendance daily for COLABS Staff
Membership Management
- Develop community initiatives to foster connections among members, including introductions, event support, and communications
- Resolve complaints, problems, and requests from tenants to maintain community cohesion
- Maintain updated payment records and forward to finance
- Inform clients about payment methods and verify billing data
- Manage bookings for all bookable rooms
- Receive payments for lockers, conference rooms, and meeting rooms for non-members
- Manage Lost and Found ledger
- Arrange appointments for the team and update calendars
Events and Community Management
- Assist with event setup and breakdown, including food and beverage ordering
- Perform other tasks as assigned by management
Service:
- Manage daily in-house pantry, ensuring availability and freshness of beverages and F&B items
- Brief staff daily on hygiene and discuss issues with management
- Prepare staff rosters and work schedules
- Ensure hygiene and cleanliness of the environment and smooth operations
- Monitor performance of housekeeping and staff
- Maintain cleanliness, dusting, vacuuming, and utensil washing
- Check restrooms and set up for meetings or events
- Coordinate with relevant teams on event management and bookings
Administrative:
- Assist with move-ins and move-outs, prepare welcome packets
- Support building operations and maintenance
- Manage keycard activations and access requests
- Ensure the building is clean and well-maintained
- Coordinate repairs and maintenance with the admin team
- Handle receipts, mail, and packages
- Identify and escalate issues to the Community Manager
Candidate Profile:
- Bachelor's in Marketing/Business Administration with 2-3 years of client-facing experience
- Strong collaborator, excellent communication skills, highly organized
- High social and emotional intelligence, problem-solving mindset
