The role of an Executive Assistant to the Senior Regional Director is a critical position that requires a highly organized, skilled, and experienced individual.
Job Description:This job involves providing executive and project management support to the Senior Regional Director Asia. The primary responsibilities include managing daily administrative tasks, coordinating schedules, travel arrangements, and meetings. Additionally, the successful candidate will prepare reports and presentations, and provide support for various projects.
The ideal candidate will have strong organizational, communication, and interpersonal skills, with the ability to work discreetly and professionally with senior leaders. Proficiency in English (IELTS Band 6-7) and a background in project management are essential.
- Key Responsibilities:
- Administrative tasks to support the Senior Regional Director Asia in:
- Managing electronic diary and daily mail to ensure the smooth running of the office and the department/team
- Manage travel arrangements to ensure the SRD staff's visits operate smoothly, efficiently, and cost-effectively
- Handle phone calls and messages for SRD, as needed
- Research:
- Compiling and preparing reports, presentations, and correspondence
- Manage meeting arrangements to ensure meetings are held and attended, and that all the necessary documentation is in place, take minutes to provide a record, and follow up
- Collect reports to ensure that all information required by the business is produced accurately and to deadlines
- Act as a Configuration Librarian for the projects and people database
- Liaise with relevant stakeholders and facilitate printing and acquiring publications
Requirements:
- Bachelor's degree in Business Administration, Management Sciences, or a related field
- Minimum 1 to 2 years of experience as a Personal Assistant or Executive Assistant
- Strong diplomacy, initiative, planning, organizational, and time management skills
- Ability to adapt quickly to new and different environments
- Flexibility, reliability, tact, and discretion
- Meticulous and good attention to detail
- Proven analytical and drafting skills
- Project Management background
- English speaking, writing, and listening competency at IELTS Band 6-7 will be a plus
