Job Title: Office Operations Manager

We are seeking a highly organized and detail-oriented individual to fill the role of Office Operations Manager. As the right person for this position, you will be responsible for overseeing various office operations, ensuring smooth day-to-day functioning, and maintaining high standards of efficiency.

  • Key Responsibilities:
    • Administration and Coordination: Manage office supplies stock, place orders, and maintain accurate records of inventory levels.
    • Reporting and Data Analysis: Prepare regular reports on expenses and office budgets, using statistical data to inform decisions.
    • Database Management: Maintain and update company databases, ensuring accuracy and accessibility of information.
    • Filing and Organization: Organize a filing system for important and confidential company documents, ensuring easy retrieval and storage.
    • Vendor Communication: Approaching vendors to take quotations and arrange meetings as required.
    • Payables and Record-Keeping: Handle payables and keep accurate records of financial transactions.
    • Policy Updates: Update office policies as needed, in consultation with senior management.
    • Scheduling: Maintain a company calendar, schedule appointments, and book meeting rooms.
    • Correspondence: Distribute and store correspondence, including letters, emails, and packages.
    • Presentations and Reports: Prepare reports and presentations with statistical data, as assigned by management.
    • Travel Arrangements: Arrange travel and accommodations for staff and visitors.
    • Event Planning: Schedule in-house and external events, ensuring seamless execution.
Requirements:
  • Work Experience: Proven work experience as an Administrative Officer, Administrator, or similar role.
  • Office Procedures: Solid knowledge of office procedures and protocols.
  • Software Skills: Experience with office management software like MS Office (MS Excel and MS Word).
