  • Main Responsibilities:

  • Administrative Support

    1. Manage student room allotments on the hostel management system, ensuring accurate records of hostel occupancies.

    2. Handle hostel-related administrative tasks to ensure smooth operations.

      ">
    3. Coordinate with relevant departments to ensure compliance with housing policies and procedures.

      ">
  • Query Management

    ">
    1. Address hostel-related queries and concerns from students and non-students, ensuring timely and effective resolutions.

      ">
    2. Collaborate with various departments to resolve issues related to room allotment, fee vouchers, and other operational matters.

      ">
    3. Provide support in addressing general inquiries to ensure smooth functioning.

      ">
  • Operational Coordination

    ">
    1. Collaborate with all departments across the organization to ensure the seamless operation of residential facilities and services.

      ">
    2. Facilitate event-related accommodations by coordinating with society representatives and stakeholders.

      ">
    3. Conduct routine inspections to maintain the quality and safety of facilities.

      ">
  • Student Interaction

    ">
    1. Act as a point of contact for hostel residents, offering guidance and assistance on housing matters.

      ">
    2. Facilitate onboarding and check-in processes for new students and event delegates.

      ">
    3. Document unresolved issues and escalate them to the Operations Lead when required.

      ">
  • Inventory and Budget Management

    ">
    1. Oversee the inventory of hostel assets, including bedding items and furniture, ensuring proper accountability.

      ">
    2. Manage procurement processes, including raising purchase requisitions (PRs) and coordinating with suppliers.

      ">
    3. Assist in budget preparation, monitoring, and effective resource allocation.

      ">
  • Reporting and Documentation

    ">
    1. Prepare detailed reports on hostel occupancy, damages, and overall operational status.

      ">
    2. Maintain comprehensive records of incidents, maintenance requests, and policy-related matters.

      ">
  • Service Excellence and Surveys

    ">
    1. Conduct surveys to evaluate resident satisfaction and identify areas for improvement.

      ">
    2. Address concerns proactively and implement enhancements to ensure high service standards.

      ">
    3. Continuously review and refine operational processes to align with best practices.

      ">
  • General Operations

    ">
    1. Provide support for a broad range of operational responsibilities, including event coordination, vendor management, and handling emerging challenges.

    2. Adapt to evolving requirements and contribute to the overall efficiency and effectiveness of operations.
