Procurement Specialist and Import Operations Coordinator

Job Description

The Procurement Specialist plays a crucial role in ensuring the smooth importation of goods and materials. Key responsibilities include:

  • Purchase Order Preparation: Prepare purchase orders as per proforma invoices, aligning with company standards.
  • Letter of Credit Management: Arrange for letters of credit/contracts from various banks, maintaining accurate records and tracking progress.
  • Follow-up and Record-Keeping: Follow up on any amendments, additions, or deletions to letters of credit/contracts, maintaining a comprehensive record of all import consignments in transit.
  • Import Consignment Tracking: Inform the sales department about all booked import consignments, ensuring seamless communication throughout the process.
  • LC/Contract Maturity Planning: Manage letter of credit/contract maturities, scheduling payments for matured documents in a timely manner.
  • Correspondence and Clearing: Facilitate necessary correspondence with clearing agents to clear import consignments, ensuring efficient processing and delivery.
  • Warehouse Notifications: Inform warehouses about expected import consignment arrivals, enabling them to prepare for receipt and storage.
  • Software Maintenance: Make entries in software for LC opening, document payment, purchase orders, and import purchases, as well as book liabilities for clearing agents, insurance companies, and indenting commissions.

Additionally, proficiency in software applications and systems related to procurement and import operations is required.
