Inventory Operations Specialist

We are seeking a highly organized and detail-oriented professional to manage all aspects of inventory operations, both in-office and in the field.

Responsibilities:
  • Office/Desk:
    • Issue supplies from the stockroom and record everything on the check-out sheet.
    • Place daily consignment orders (deadline: Thursday noon for Friday receipt).
    • Order non-consignment stockroom items as needed.
    • Order truck stock and PTU supplies as requested.
    • Get quotes on materials and supplies as requested.
    • Track & order stockroom supplies, thermostats, sheet metal, Freon, and in-house inventory.
    • Count and reconcile discrepancies regularly.
    • Create End of Month reports for stockroom, sheet metal, thermostats, Freon, and in-house inventory.
  • Back Shop:
    • Verify correct receipt of shipments, tag equipment with SOLD stickers indicating job number/customer name/installation date.
    • Count sheet metal daily and track on spreadsheet for month-end.
    • Receive UPS & FedEx shipments, tag and stage parts, notify departments.
    • Prepare equipment for shipment when requested.
    • Wrap refrigerant recovery bottles, tag, and coordinate exchanges.
    • Receive truck deliveries, use forklift when needed.
    • Exchange nitro/ace/oxy bottles; schedule pickups/deliveries.
    • Inventory all company-owned vehicles, tools, equipment, and update records annually.
  • Warranties:
    • Receive small parts with paperwork, process warranty claims promptly.
    • Stage larger warranty parts outside stockroom.
    • Return warranty items for vendor credit, track credits, and research outstanding credits over 30 days.
Secondary Responsibilities:
  • Process and match invoices, enter into accounts payable, maintain invoice files.
  • Research invoice discrepancies and review vendor statements.
  • Gather and enter payroll timesheets when requested.
  • Record all new purchases for year-end reporting.
Work Environment:
  • Retrieve/deliver equipment, parts, supplies across various locations.
  • Handle warranty returns, equipment transfers, and vehicle servicing.
  • Perform pickups/deliveries for various needs.
  • Assist with counter sales, parts inquiries, and departmental support.
