Job Summary

We are seeking an administrative oversight professional to oversee all administrative tasks assigned by the General Manager. This role is responsible for ensuring seamless day-to-day operations, maintaining efficient workflows, and developing reporting procedures to optimize data-driven decision-making.

Main Responsibilities

  • Workflow Management
    • Maintain efficient workflows by analyzing and implementing cost-saving measures, reducing waste, and increasing productivity.
    • Develop reporting procedures to optimize data-driven decision-making, enabling informed business decisions.
  • Process Improvement
    • Analyze operating practices, record-keeping systems, forms control, office layout, and personnel requirements to create and revise systems and procedures, enhancing operational efficiency.
    • Implement changes to streamline processes, improving productivity and reducing administrative burdens.
  • Staff Development
    • Provide information and training to administrative staff to enhance their skills and knowledge, promoting professional growth and development.
  • Problem Resolution
    • Ccoordinate the preparation of reports, analyze data, and identify solutions to resolve administrative problems, minimizing downtime and maximizing productivity.
  • Equipment Maintenance
    • Ensure the operation of equipment by completing preventive maintenance requirements, evaluating new equipment and techniques, and optimizing resource utilization.
  • Supply Chain Management
    • Maintain supplies inventory by checking stock levels, anticipating needed supplies, and expediting orders, ensuring seamless operations.
  • Project Coordination
    • Schedule and assign administrative projects to ensure timely completion and efficient results, meeting business objectives.
  • Professional Development
    • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, and participating in professional societies, staying up-to-date with industry best practices.
  • Team Contribution
    • Contribute to team effort by accomplishing related results as needed, supporting colleagues and promoting a collaborative work environment.
