Examination Support Specialist

The successful candidate will provide administrative and clerical support to the Examination Team, ensuring the smooth running of examinations across all campuses. This includes timetabling, data management, and communication with relevant departments.

Main Responsibilities:

  • Monitoring assessments and submissions, collecting grades and exam results, and sending them to the Awarding Body
  • Checking matrices/Board sheets from AWB and highlighting discrepancies where applicable
  • Centralizing all student results in an internal Board sheet and updating after each marking deadline
  • Making arrangements for in-class examinations, ensuring examination papers and necessary documentation are delivered safely to all campuses
  • Communicating effectively with relevant departments to ensure students with special needs receive support
  • Producing written guides for staff and students on exam procedures
  • Safe storage of exam papers and sending them for moderation when required
  • Organizing Internal Boards before the main Board with the Awarding Body
  • Participating in Pre-Board / Board Meetings to present LSST results
  • Informing Registry about Board outcomes and creating lists of Re-take students/Re-sit students
  • Processing Extensions / Mitigations, organizing Panels, and informing students and the University
  • Working efficiently on queries, re-mark requests, and missing marks following results day
  • Dealing with student queries and supporting them effectively
  • Assisting the attendance officer with manual registers
  • Managing and developing the work carried out by the registry team, making effective use of time and resources
  • Assisting in creating termly timetables for students
  • Supporting the maintenance of accurate student records on Student Management System (SMS) and SITS Software
  • Administering the day-to-day processing of incoming student record information and running data quality verification exercises

Required Skills and Qualifications:

  • Fluent English language skills
  • + 2 years of experience in a related field
  • Previous experience in customer service or call centres will be welcomed
  • A high level of professionalism and ability to maintain confidentiality
  • Good Microsoft Office skills, especially in MS Excel
  • A high level of proficiency in student record information systems; preference given to those with similar experience
  • Strong organizational, analytical, and problem-solving skills
  • Highly developed organizational, communication, and presentation skills to handle student queries
