Job Summary

The Assistant Manager - Administration & Industrial Relations (IR) will oversee all administrative operations of the factory. This includes ensuring efficient support services, legal and regulatory compliance, and effective industrial relations. The role also requires ensuring the transport fleet, enforcing workforce morale, and maintaining discipline within a supportive factory environment.

Job Responsibilities

  • Supervise daily administrative functions, including housekeeping, utilities, security, and facility maintenance.
  • Implement and monitor standard operating procedures (SOPs) tailored to factory administrative processes.
  • Ensure timely renewal, display, and availability of regulatory documents such as licenses, safety certificates, and labor notices.
  • Coordinate repairs, infrastructure maintenance, and upkeep of staff amenities including restrooms, canteens, and water supply.
  • Ensure compliance with labor laws, EOBI, SESSI, and other statutory requirements.
  • Maintain up-to-date statutory records like labor registers, attendance logs, overtime sheets, and disciplinary files.
  • Assist in preparing for labor inspections, internal audits, and compliance visits.
  • Support legal counsel in investigations, inquiries, or proceedings as needed.
  • Act as a key liaison between factory management and the labor force to resolve grievances and maintain harmonious relations.
  • Support the HR team in labor welfare activities, employee engagement, and communication at the shop-floor level.
  • Participate in investigations, disciplinary proceedings, and assist with handling of workplace disputes.
  • Facilitate worker onboarding, orientation, and factory-level awareness programs.
  • Oversee all aspects of the factory's vehicle operations, ensuring safe, cost-effective, and compliant transport. This includes daily vehicle usage, fuel consumption, maintenance costs, and documentation such as logbooks.
  • Supervise administrative support staff including janitors, security, timekeepers, and drivers.
  • Support crisis management, special projects, or ad-hoc tasks as delegated by the Manager - Admin & IR.

Qualifications & Skills

  • Minimum of a Master's or Bachelor's degree in Business Administration, Public Administration, Human Resource Management, Industrial Relations, or a related field.
  • 4-6 years of relevant experience in factory administration and industrial relations.
  • Hands-on experience in managing compliance (EOBI, SESSI, labor laws), audits, and facility operations.
  • Experience in vehicle/fleet management within a factory or industrial setup is a significant advantage.
  • Solid understanding of labor laws, factory act, and regulatory requirements in the manufacturing sector.
  • Strong interpersonal and conflict-resolution skills for handling IR matters.
  • Good command of administrative operations, vendor management, and facility upkeep.
  • Proficiency in MS Office (especially Excel and Word); experience with ERP systems is a plus.
  • Ability to work under pressure.
  • Handle emergencies and ensure business continuity.

Job Type: Full-time

Pay: Rs90, Rs120,000.00 per month
