Description

The Admin Manager ensures efficient administrative management, asset control, and support to operational and HSSE functions at the Machike Installation. The role covers facilities and services management, compliance, permit-to-work coordination, emergency response planning support, and supervision of 3rd party service staff.

Key Responsibilities

  • Administration & General Services – Manage office administration, utilities, security, housekeeping, catering, and vendor contracts.
  • Asset Management – Maintain asset register, ensure proper utilization/maintenance, and periodic verification.
  • Compliance & Governance – Ensure compliance with company policies, labor laws, and regulatory requirements. Maintain licenses/permits and support ethics & compliance culture.
  • HSSE Support- Support in effective implementation of HSSE.
  • Permit-to-Work (PTW) – Administer PTW records, filing, and compliance coordination with operations/maintenance.
  • Emergency Response Planning (ERP) – Support ERP updates, documentation, drills, and resource availability.
  • 3rd Party Service Staff Management – Oversee contracts, attendance, and performance of security, drivers, and housekeeping staff.
  • Finance & Procurement Support – Manage petty cash, procurement of goods/services, and vendor payments.
  • Stakeholder & External Relations – Liaise with authorities, auditors, regulators, and community representatives.

  • Efficient administration and facility management.
  • Updated and verified asset records.
  • HSSE compliance and accurate documentation and reporting.
  • Effective ERP support and drill facilitation.
  • Compliance with labor laws and regulatory standards.
  • Effective oversight of 3rd party service staff.

Qualifications & Experience

  • Bachelor's degree in business administration/management/engineering/finance/Science (Master's preferred).
  • 7–10 years of relevant administration/asset management experience, preferably in oil & gas/industrial sector.

Skills & Competencies

  • Strong organizational and administrative skills.
  • Asset management and record-keeping expertise.
  • Knowledge of PTW & ERP protocols.
  • Leadership and supervision of service staff/vendors.
  • Stakeholder engagement and problem-solving abilities.
  • Proficiency in MS Office and ERP systems.
