We're seeking a highly structured, trusted, and action-oriented Administrative Manager to serve as the operational and planning right hand to Senior Manager Strategy and Execution. The Manager will work closely with Senior Leadership and the Founder of the Company and cross-functional teams across the geographies where Boston Health AI has a presence, driving planning, coordinating complex multi-stakeholder initiatives, enabling fast, high-quality decisions, and ensuring crisp execution across the portfolio.
This is a high-visibility, high-velocity role for a calm, resourceful facilitator who's equally comfortable in facilitating high-level decision making both in boardroom and on the ground.
What You'll Do
1) Strategy & Planning
- Partner closely with the Senior Manager, Strategy & Execution to:
- Lead annual and quarterly strategic planning and OKR cycles; translate vision into roadmaps with clear milestones, owners, and success metrics.
- Prepare decision memos, pre-reads, risk/benefit analyses, and options with recommendations; ensure inputs are rigorous and on time.
- Track strategic initiatives end-to-end; proactively surface risks, unblock teams, and realign resources.
2) Executive Operations
- Orchestrate the Founder's time and priorities; manage long-range calendar, briefing materials, meeting pre-work, and debriefs to maximize impact per hour.
- Stand up and run operating cadences (ELT, program reviews, pipeline reviews, clinical governance, research steering committees); document decisions and drive follow-through.
- Maintain company collateral (decks, one-pagers, bios) so outward messaging is clear, current, and consistent.
· Provide on-the-ground facilitation during the Founder's visits especially when he is Karachi to coordinate agendas, site visits, VIP meetings, media, logistics, and day-of execution to maximize impact.
- Manage VIP and special-guest relations for Founder in Karachi, from invitations and protocol to on-site coordination and hospitality.
3) Communications & Stakeholder Management
- Serve as a primary point of contact for key internal and external stakeholders; represent the Founder and Leadership when helpful.
- Spearhead high-impact events and stakeholder engagements that advance business objectives; own end-to-end planning (run of show, invitations, briefing packs), onsite delivery, and post-event follow-through.
- Support relationship management with existing and prospective healthcare institutions, health systems, academic partners, philanthropies, and public-sector collaborators.
4) HR & Administrative Support
- Maintain employee records, contracts, and confidentiality agreements in compliance with company policies.
- Support onboarding and offboarding (documentation, access, asset handover, induction).
- Manage leave requests, attendance records, and ensure compliance with company leave policies.
- Coordinate with finance on payroll inputs and benefit administration.
- Ensure all HR-related documentation (contracts, NDAs, letters) is updated, filed, and easily retrievable.
5) Special Projects
- Lead time-bound, high-impact initiatives on behalf of the Founder (e.g., new site launches, major grant applications, consortium formation, or strategic transactions).
Qualifications
- 5+ years in administrative role in healthcare, digital health, life sciences, technology, or management consulting; prior Senior program leadership supporting a C-level leader strongly preferred.
- Bachelor's degree required; advanced degree (MBA/MPH/MHA/MD/PhD) a plus.
- Proven ability to run complex, multi-stakeholder programs in regulated environments; familiarity with clinical research processes and responsible-AI considerations preferred.
- Exceptional written and verbal communication; able to synthesize complexity into crisp narratives and options.
