Grants/Proposal Writer – TENTATIVE JOB DESCRIPTION
Responsibilities- Draft /edit proposals: Develop and edit compelling content including proposals, concept notes, and letters for enquiry for different donors (EU, GIZ, FCDO, etc.) for standard proposal components including organizational background, history, capabilities statements, and other non-technical elements. Review and analyze calls for proposals (RFPs, RFAs, NOFOs) to ensure strong understanding of donor expectations.
- Contribute to technical writing: Collaborate with program, M&E, and finance teams to draft technical and financial proposals. Demonstrate advanced technical writing skills with the ability to absorb technical/methodological information from program teams and translate it into proposal-ready content. Know effective techniques for presenting technical information in compelling, donor-appropriate formats.
- Lead proposal preparation: Take lead on grant proposal development process including research, planning, and execution of submission requirements. Manage end-to-end proposal development while knowing when and how to intervene at critical stages of the process if and when necessary.
- Facilitate stakeholder engagement: Support and on occasion lead discussions with stakeholders. Demonstrate knowledge of effective networking techniques to build relationships with potential donors and partners for both funding and project partnership purposes.
- Manage documentation and coordinate with departments: Compile, format, and organize all required documentation for submissions, working directly with operations and finance departments to secure necessary attestation forms, financial statements, and other supporting materials in a timely manner.
- Maintain proposal tracking systems: Create and update proposal calendars, ensuring all team members are aware of upcoming deadlines and submission requirements.
- Support budget development: Gather necessary cost information, input data into budget templates, and assist with development of financial components following funder guidelines and organizational policies.
- Quality control: Proofread and edit proposal documents for clarity, accuracy, consistency, and adherence to funder requirements before final submission.
- File management: Establish and maintain organized digital filing systems for all proposal materials on the organization's grants SharePoint, ensuring easy retrieval of information for future reference.
- Submission assistance: Complete required forms and navigate online submission portals to ensure timely and accurate proposal delivery.
- Facilitate internal communication: Coordinate with team members across departments to gather necessary technical/methodological information, ensuring all proposal components fully and accurately reflect organizational capabilities.
- Track outcomes: Monitor submission status, maintain comprehensive records of all proposals, and help prepare reports on proposal activities and success rates.
- Donor Communication Support: Draft capability statements, donor briefs, and project summaries for external use. Support the Business Development team with donor communications and writing needs.
- Bachelor's or Master's degree in Public Health, Social Sciences, Development Studies, International Relations, Communications, English, or other related fields.
- At least 3 years of professional experience in proposal or grant writing, preferably in the nonprofit, humanitarian, or international development sector.
- Prior experience in grant writing, fundraising, or proposal development strongly preferred.
- Advanced technical writing skills with the ability to synthesize complex technical and methodological information from program teams into accessible and persuasive proposal-ready writing. Experience with monitoring and evaluation of health programs preferred.
- Experience in developing and editing winning proposals, concept notes, and letters for inquiry for different donors (EU, GIZ, FCDO, etc.). Knowledge of effective techniques for presenting technical information in compelling, donor-appropriate formats.
- Ability to facilitate stakeholder engagement and support discussions with stakeholders. Knowledge of effective networking techniques to build relationships with potential donors and partners.
- Strong command of written English, with excellent grammar, structure, and clarity.
- Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
- Experience with online grant submission portals and donor websites.
- A strong ability to coordinate multiple workstreams simultaneously.
- Strong attention to detail and organizational skills. Ability to work under pressure and meet strict deadlines.
- Problem-solving orientation with the ability to adapt to changing circumstances.
Should have conducted at least one survey using mobile technology.
