Overview

JOB OBJECTIVE: To provide the company with an efficient service with regards to labour and safety, management, security of this establishment and sanitation condition of non production area and other issues pertaining to labour laws, so that projected plan is met on time with maximum economy, efficiency.

Responsibilities
  • To run the department under labour laws smoothly and administratively.
  • To administer qualities of leadership and management skills and be able to ensure the highest degree of performance both qualitative and quantitative.
  • To monitor the description, policies and procedures as laid down by the company by all reasonable legal means.
  • You must at all times maintain and reserve with your staff and workman amicable relationship and promote dignity of work.
General
  • 1) Make an arrangement of notice board to be fixed at main entrance of worker / staff for display of notices / circulars.
  • 2) To attend the court of law on behalf of the management according to need / requirement.
  • 3) Preparation of monthly stationary requisition summary of different departments. Disbursement of stationary and storage.
  • 4) SECURITY MATTERS:
    • To supervise security staff for the concerning matters.
    • To keep an eye over all incoming & outgoing material records.
    • Cross check of all gate registers.
    • To make an arrangement of issuance of their uniforms.
    • Responsible for the Premises out of boundary wall.
  • 5) Make an arrangement to manage the factory account efficiently (Canteen, O.T entertainment & Sanitation etc) effectively to provide better facilities regarding financial matters. To submit summary of account (Daily imprest report) on daily basis to the concern dept.
  • 6) To handle the matters pertaining to the companies ordinance and other laws applicable to this industry, for handling the situation in preventive measure based on laws / Rules.
  • 7) Make an arrangement of transportation for staff through contract/company vehicle and goods through loading vehicle.
  • 8) Arrangement of photocopies of different section.
  • 9) Custody of the legal and corporate documents of the company.
  • 10) EXTERNAL DEALING (DIRECT MANAGEMENT): Make an arrangement to contact foreign agencies asper requirement including labour affairs. The list of various agencies to whom you contact on behalf of the management are as under:
    • a. Karachi Water & Sewerage Board. Monthly billing & payment, concerning issues, meter checking, water shortage problem, water line problem etc.
    • b. Karachi Municipal Corporation (City Govt) for manufacturing of trade license.
    • c. Karachi Development Authority. Approval for new construction, and map approval.
    • d. Landhi Association of Trade & Industry.
    • e. Employer Federation of Pakistan.
    • f. Karachi Electric Supply Corporation. Monthly billing & payment, settlement of concerning issues like cable problem, meter checking and meter reading, dealing with electrical inspectors, to coordinate with the institution for power failure problem etc.
    • g. Pakistan Telecommunication Ltd. Monthly billing & payment, settlement of concerning issues like line problem, dealing with concerned PTCL staff etc.
    • h. Sui Southern Gas Comp. Inspection, meter reading, before meter problem etc.
    • i. Sindh Employees Social Security Institution. Dealing with the inspectors.
    • j. Employees Old age Benefits Institution. Monthly payment.
    • k. Joint Director of Labour Directorate Labour Welfare.
    • l. Sindh Worker Welfare Board. Billing & payment through submission of cheques.
    • m. Civil Defense.
    • n. Sindh Police (Sharafi Goth Police Station).
  • 11) CANTEEN (Through Canteen Office/Incharge): To ensure the service of meals to the employees at lunch break and tea time adequately; to ensure the purchase of the daily grocery item and stock; to ensure that Canteen facilities are managed / examined by the Canteen officer as detailed.
  • 12) TRANSPORTATION (Through Asst.Admin Officer):
    • i) Contract Vehicle: To prepare the contract and agreement on behalf of the management; to monitor punctuality; to schedule employees for van privilege; to coordinate with Finance for timely payments; to negotiate with contractors; to ensure vehicles are in good condition.
    • ii) Opal Staff Van: To monitor vehicle condition; to check arrival timings and address lateness with the driver; to maintain van details.
    • iii) Loading Vehicle: Arrangement of diesel; coordinate with driver on issues; vehicle maintenance; scheduling oil changes; check on outgoing material and meter reading.
    • iv) Executive Vehicles: Washing, cleaning, and proper parking.
  • 13) WATER MANAGEMENT (Through Asst.Admin Officer):
    • Tanker: check underground tank water level; forecast water requirements; coordinate with water suppliers; ensure proper water supply; coordinate with Finance for payment.
    • Pumping Well: monitor pumping requirements for demanded water level.
  • 14) ATTENDANCE (Through Asst.Admin Officer): Take daily attendance of workers at the rear gate and maintain attendance records with late-coming details.
  • 15) TELEPHONE & MAIL (Through Receptionist): Dispatch outgoing mail, maintain receipt records, and route incoming mail to MD/CEO and Director/COO as needed; proper entering in the mail register.
  • 16) HOUSE KEEPING (Through House Keeping Officer/Incharge): Supervise sanitation of head office block and plant area, schedule sweepers, plan duty on holidays as required, prepare budget for housekeeping materials, and manage housekeeping materials and disbursement.
