Role Description:

This is a full-time, on-site role for a Front Desk Officer at Bureau Veritas Group in Karachi. The Front Desk Officer will handle receptionist duties, provide excellent customer service, operate office equipment, and support daily administrative tasks.

Key Responsibilities:

  • Ensure cleanliness and tidiness of the front desk and office areas; report any unusual or unethical activities.
  • Maintain and report staff attendance, leave records, and staff movement to HR; submit final attendance sheet by the 25th of each month.
  • Coordinate with employees, POCs, and managers regarding daily attendance via email and WhatsApp.
  • Maintain records of sick and unauthorized leaves every three months.
  • Prepare and verify overtime sheets; share with HR and Finance in the first week of each month.
  • Handle incoming and outgoing calls, messages, and direct them to the concerned staff or department heads.
  • Arrange hotel and air ticket bookings following company protocols; verify vendor invoices and submit originals to the accounts department; record courier items (rarely from Karachi).
  • Prepare and submit welcome packs for new hires and organize HSE induction training.
  • Support CSR activities and employee engagement events at the branch.
  • Provide general administrative support, including managing bills, maintaining files (digital and physical), preparing letters and documents, and creating purchase orders for invoices.
  • Handle miscellaneous requests from the office in charge, HR, Marine, employees, the public, and customers.

Required Qualifications:

  • Experience: 2-3 years in a similar role is preferred.
  • Education: Bachelor's degree in any field.
  • Strong interpersonal and customer service skills.
  • Proficiency in receptionist duties and office equipment operation.
  • Experience in office administration.
  • Excellent communication and organizational skills.
  • Ability to multitask, prioritize, and pay attention to detail.
