Lahore, Punjab, Pakistan National Institute of Technology Full time

The National Institute of Technology (NIT) is looking for dynamic individuals across various departments for developing and implementing comprehensive strategies to enhance university operations, engage stakeholders, and assist departments across the university.

The university is based in Lahore, and is looking to begin hiring on an immediate basis.

Key responsibilities:

Marketing and Communications

  • Creating and executing an integrated marketing communication model to effectively promote the university
  • Managing social media presence by creating engaging marketing content for platforms and ensuring increased viewership and engagement.
  • Leading student outreach and recruitment efforts during the admission cycle to attract prospective students.
  • Organizing information sessions and events for students to provide opportunities to meet key players in their respective sectors
  • Writing and producing publications for all stakeholders
  • Providing support to various NIT departments in terms of event logistics and event coverage

Admissions

  • Developing and implementing admissions policies and procedures and oversee the entire admissions cycle, including application review, evaluation, and decision-making.
  • Ensure timely and accurate processing of applications, transcripts, test scores, and other required documents.
  • Serve as the primary point of contact for prospective students and their families, providing guidance on admissions requirements, programs, and deadlines.
  • Maintain accurate and up-to-date records of applicant data using the university's admissions software.
  • Generate reports on application trends, enrollment statistics, and recruitment efforts to inform decision-making.
  • Work closely with academic departments, financial aid, and student services to ensure a seamless transition for admitted students.

Registrar Office

  • Maintain accurate and confidential student academic records, including transcripts, grades, and degree progress.
  • Process and update student information in the university's student information system
  • Generate and distribute official transcripts, diplomas, and enrollment verification documents.
  • Assist with the auditing and verification of student records for degree completion and graduation.
  • Facilitate course registration processes, including adding/dropping courses, waitlist management, and resolving registration errors.
  • Monitor and enforce enrollment caps, prerequisites, and other registration requirements.
  • Enforce academic policies, such as grading, academic standing, and probation/dismissal procedures.
  • Process and track petitions for exceptions to academic policies (e.g., late withdrawals, grade changes, and credit transfers).
  • Serve as a primary point of contact for students, faculty, and staff regarding registrar-related inquiries.

Finance

  • Develop, monitor, and manage the university's annual operating budget in collaboration with senior leadership.
  • Allocate funds and track expenditures of departments and programs based on institutional priorities and financial policies.
  • Support the annual audit process by providing necessary documentation and addressing auditor inquiries.
  • Oversee the processing of invoices, purchase orders, and payments to vendors and suppliers.
  • Manage the collection of tuition, fees, and other receivables from students, sponsors, and third parties.
  • Prepare financial reports for grantors and sponsors, detailing expenditures and fund utilization.
  • Coordinate with the registrar's office and student accounts to ensure accurate billing and collection.
  • Negotiate contracts with vendors and suppliers to secure favorable terms and conditions. Maintain relationships with key vendors and evaluate their performance regularly.
  • Provide financial analysis and recommendations for major initiatives, such as capital projects, program expansions, or mergers..
  • Respond to inquiries from students, faculty, staff, and external partners regarding financial matters.

HR

  • Manage the full recruitment cycle, including job postings, resume screening, interviewing, and reference checks.
  • Collaborate with hiring managers to define job requirements and selection criteria.
  • Provide new employees with information about university policies, benefits, and resources.
  • Develop and implement performance appraisal systems to evaluate employee performance and productivity.
  • Oversee the administration of employee compensation and benefits
  • Maintain accurate and confidential employee records, including personnel files, benefits enrollment, and performance evaluations.

IT

  • Oversee the design, implementation, and maintenance of the university's IT infrastructure, including servers, networks, and data centers.
  • Monitor system performance and troubleshoot issues to minimize downtime and disruptions.
  • Manage the university's local area network (LAN), wide area network (WAN), and wireless networks. Configure and maintain network hardware, such as routers, switches, firewalls, and access points.
  • Provide technical support to faculty, staff, and students for hardware, software, and network issues.
  • Oversee the installation, configuration, and maintenance of university-wide software applications. Manage software licenses and ensure compliance with vendor agreements.
  • Manage the university's databases, ensuring data integrity, security, and availability. Develop and implement data backup and recovery plans to prevent data loss.
  • Plan and execute system upgrades and infrastructure expansions.
  • Develop and maintain disaster recovery and business continuity plans for IT systems and services, conducting regular testing and drills to ensure the effectiveness of recovery plans
  • Assist with the planning and execution of university-wide events or initiatives that require IT support.

Procurement

  • Collaborate with departments to forecast procurement needs and plan purchasing activities.
  • Establish procurement policies and procedures to ensure efficiency, transparency, and compliance.
  • Negotiate contracts and agreements with suppliers to secure favorable terms and conditions.
  • Process purchase requests from departments, issuing purchase orders to suppliers, tracking orders through to delivery.
  • Maintain accurate and comprehensive procurement records for audit and reporting purposes.
  • Oversee the management of university inventory, including tracking, storage, and distribution of goods.
  • Verify receipt of goods and services, ensuring they meet the specified requirements and quality standards.

Qualifications:

  • Minimum Bachelor's degree from an HEC accredited institute (Master's preferred for senior positions)
  • Mandatory experience in a relevant field
  • Prior experience in the education sector preferred
  • Excellent communication and interpersonal skills
  • Experience working in diverse and multicultural settings preferred
