We are seeking a highly organized and proactive Manager to oversee administrative tasks, manage Islamabad Office Operations, supervise guest house operations, manage and enhance personal relations with embassies, especially in Europe, handle visa processing and government office-related linkages and arrangements (e.g., MOFA, MOI, IT Ministry, Diplomatic Services, Protocols for Management, Amex, TCS, Gerry's, etc.), and serve as the primary point of coordination with the Head Office. The ideal candidate will demonstrate exceptional multitasking abilities, attention to detail, and strong communication skills to ensure seamless operations.

Key Responsibilities:

  1. Administrative Management:
    Oversee day-to-day administrative tasks, ensuring efficient operations and adherence to company policies.
    Maintain records, prepare detailed reports, and manage budgets for administrative functions.
    Coordinate with internal departments and external stakeholders for operational efficiency (e.g., MOFA, MOI, IT Ministry, Diplomatic Services, Amex, TCS, Gerry's, etc.).
    Handle all assignments with the various ministries and government offices.
  2. Guest House Operations:
    Manage the guest house, ensuring a high standard of comfort, cleanliness, and safety for guests.
    Coordinate bookings, check-ins, and check-outs efficiently.
    Supervise guest house staff, oversee maintenance, and ensure proper inventory of supplies.
  3. Visa Processing and Documentation:
    Handle visa applications for employees, guests, and visitors, ensuring compliance with all legal requirements.
    Coordinate with consulates, embassies, and travel agencies for timely processing and recent updates/changes in visa policies.
    Ensure compliance with relevant country-specific visa requirements and regulations.
  4. Embassy Visits and Arrangements:
    Arrange embassy appointments and manage associated correspondence and documentation.
    Accompany individuals for embassy visits as needed, ensuring smooth interactions.
    Establish and maintain professional relationships with embassy officials and government departments to facilitate smooth processing.
  5. Coordination with Head Office:
    Act as the primary liaison between the local office and the Head Office.
    Ensure timely communication and reporting of operational updates, challenges, and progress.
    Align local activities with Head Office directives and policies.
  6. Compliance and Problem-Solving:
    Ensure all activities comply with company policies and legal regulations.
    Address and resolve issues related to administrative functions and guest services promptly.
    Identify areas for improvement and implement process enhancements.

Qualifications and Skills:

Education: 16 years of education: Master's Degree / 4-year Bachelor's degree in Business Administration, Hospitality Management, or a related field.
Experience: 8+ years of experience in administrative roles, guest house management, or related areas.

Skills:
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Knowledge of visa regulations and embassy protocols.
Proficiency in MS Office and administrative tools.
Experience coordinating with remote or central offices.
Language: Fluency in English is required; additional languages are a plus.
Attention to detail and ability to meet deadlines.
Strong leadership and team coordination skills.
Problem-solving mindset with a proactive approach.
Ability to handle confidential information with integrity.
