Deputy Manager

Deputy Manager Procurement manages and supervises all purchase-related activities, ensuring proper communication regarding purchase requisitions and outsource services within the organization and with vendors for desired goods and services.

1. Ensure correct and timely procurement of all items including purchases, donations, and Medical and General store items for IHHN. Recognize and ascertain the need for various items.
2. Verify purchase orders and work orders according to quotations as outlined in the IHHN Purchase Manual.
3. Ensure the availability of all material needs at the most economical cost and within the minimum time frame.
4. Inspect receipts, process rejections and discrepancies, and resolve issues.
5. Serve as a point of contact between suppliers, the hospital, and end users.
6. Inform concerned departments about the delivery schedule.
7. Handle petty cash for emergencies and maintain records and files.
8. Prepare work plans, duty rosters for staff, and schedules for the purchase team.
9. Regularly review items against purchase orders to ensure quality, make, and quantity.
10. Maintain a list of approved vendors and suppliers. Liaise between outside contractors/vendors and internal users.

Negotiate with suppliers/vendors regarding prices, warranties, and after-sales service as necessary.

1. Regularly verify prices of items: compare prices on purchase orders and approved price lists, and maintain a list of approved vendors and suppliers.
2. Participate in regular meetings, including Purchase Committee meetings and HOD's monthly meetings.
3. Coordinate with all departmental heads, especially the HoDs of IT, Biomedical, and Maintenance.
4. Maintain records for Purchase Orders and Work Orders; prepare comparative statements if needed.
5. Prepare and work within the department's budget.
6. Perform any other tasks assigned by the Head of Department or Management, consistent with your knowledge and skills.
