A UK-based facilities management company with 300+ employees and 10+ years of experience.
Job description:
To support the Sales team in completing and managing the tender process, ensuring our strategy to win business is clearly articulated in a professional manner. The ideal candidate should have an academic background in creative writing, content writing, or bid writing, with a keen interest in developing a career in bid writing. The role offers potential for promotion.
Duties and Responsibilities:
- Support the team in delivering high standards of work through assisting with tender questions.
- Write tender responses for PQQ and ITTs.
- Follow the company's bid process.
- Identify tender opportunities, source documents, and create breakdowns to share with the team.
- Work on portals and coordinate bid progress with team members.
- Contribute to achieving sales targets through quality submissions that improve conversion ratios.
- Ensure all documents are error-free and professionally presented.
- Develop and maintain an effective information library, liaising with other departments for updates.
- Write and develop bespoke content for tender responses, involving creative writing.
- Collaborate with BDMs to create marketing materials within guidelines, such as event invitations and case studies.
- Manage tender deadlines through diary management, providing regular feedback to stakeholders.
- Stay informed to receive new information proactively.
- Contribute to documents by questioning others to meet client objectives.
- Edit content received to meet standards and tailor to prospect requirements.
- Stay updated on prospects and competitors to ensure responses are bespoke and strategic.
- Deliver timely bespoke documents, editing all content received from the business.
- Coordinate and distribute bids within the team.
- Keep abreast of group ventures, services, competitors, and market trends.
- Identify additional opportunities by understanding client needs.
- Build relationships with colleagues to meet deadlines.
- Motivate others to send content for tenders to achieve deadlines.
- Develop a network of influential internal and external contacts, especially those up for renewal or upcoming opportunities.
- Work with colleagues to understand target clients.
- Set and manage deadlines for information receipt.
- Prepare presentations in various formats.
- Monitor deadlines and communicate status effectively.
- Promote personal development to ensure ongoing sales success, demonstrating willingness to learn and grow.
- Listen openly to different opinions.
- Maintain a professional image at all times.
Target:
- Submit 4 quality tenders, including PQQs, each month.
- Follow up and evaluate submissions monthly with an action plan.
Requirements:
- Bachelor's degree in English, Communications, Marketing, or related field (creative or bid writing preferred).
- Excellent written and verbal communication skills, with confidence in interacting professionally with UK-based clients.
- Strong interpersonal and soft skills; organized, proactive, and detail-oriented.
- Experience in facilities management industry or with UK-based FM clients is advantageous.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with tender portals (e.g., Proactis, In-Tend, Contracts Finder).
- Experience with project tracking tools (e.g., Trello, Asana) and document management platforms (e.g., SharePoint, Google Drive) is a plus.

- Experience: 1-2 years
- Work Timings: 12:00pm - 8:00pm (Summer), 1:00pm - 9:00pm (Winter)
- Work Days: Monday - Friday
- Work Mode: Onsite
- Location: Shahrah-e-Faisal, Karachi
