Role Overview:

The Supply Chain Coordinator supports the department by organizing key activities, managing internal communications, and tracking important tasks. This role includes maintaining trackers for tasks and contracts, as well as scheduling internal, cross-functional, and external meetings. The coordinator ensures timely follow-ups, accurate documentation, and smooth execution of assigned responsibilities. Overall, this position plays a vital role in ensuring seamless operations and supporting supply chain initiatives.

Main Roles & Responsibilities:

• Maintain a comprehensive task list, with regular updates, ensuring that they're completed on time.
• Organize weekly SCM meetings, including agenda preparation, minute-taking, and follow-up on action items.
• Coordinate and schedule Tender Board meetings, liaising with members, and other stakeholders, and ensure accurate documentation and timely circulation of minutes and decisions.
• Plan and support the execution of internal workshops, departmental events, and meetings.
• Maintain a comprehensive contracts tracker, highlighting key milestones such as expiry, renewal dates, and send timely reminders to relevant stakeholders for renewals.
• Schedule internal/external meetings, organizing logistics, preparing materials, and following up on key actions.
• Process invoices and expenses for payment, ensuring they are properly authorized and comply with the company's policies.
• Assist in the preparation of updates, presentations, and other documents related to SCM activities, as and when required.
• Facilitate communication between SCM and other departments for cross-functional initiatives and ensure that required follow-ups are completed in a timely manner.
• Liaise with HR to coordinate SCM-related trainings, track participation, and maintain training records.
• Coordinate with internal teams and Finance to ensure timely submission of Time Write statements.

Competencies/Qualifications:

• Bachelor's degree.
• Minimum 3 to 5 years of relevant experience
• Strong organizational and time-management skills with keen attention to detail.
• Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
• Basic understanding of procurement, contracts, and supply chain operations.
• Experience with document management and record-keeping.
• Excellent written and verbal communication skills.
• Ability to prioritize, multitask, and work independently.
• Discretion in handling confidential information
• Proactive and self-motivated with a positive attitude.
• Strong interpersonal skills; able to collaborate effectively across teams.
• Reliable and accountable; follows through on commitments.
• Detail-oriented and thorough in all tasks.
