The Department of Emergency Services at the Aga Khan University Hospital offers multiple specialties under one roof, enabling doctors from different services to work seamlessly together, offering a multidisciplinary health approach resulting in an effective continuum of care. The patients who require additional consultation are catered to, by visits of relevant specialty doctors from other departments, making complete, holistic care possible under one roof.

Responsibilities

You will be responsible for providing support to the Chair in managing the finance, administration, personnel and logistic functions of the Department and related programs including education, training, clinical services and innovation within or formally associated with the Department.

 Specific responsibilities includes:

  • Responsible to prepare schedule for faculty tutorials, case presentations, make logistic arrangements for the core /modules of residents, collect evaluations from residents of all the session and make logistic arrangements for OSCE.
  • Manage all office supplies (including stationary) and purchase request of the department and maintain an adequate inventory of office supplies and ensure timely availability of the same.
  • Provide facilitation to rotating residents for timely submission of PGME forms from faculty and ensure timely hand over of the same.
  • Assist PGME program director and coordinator in tasks as and when assigned. Also prepare PGME related reports as and when assigned by program director.
  • Provide assistance to different assigned faculties and provides assistance in travel, different ongoing projects, dossiers and other day to day logistics of the department
  • Compile residents' data and prepare quarterly letters of respective residents for feedback. Prepare annual letters of residents for annual feedback.
  • Follow the exit list of PGME, collect office provided accessories like lab coat, pagers, room keys, ID cards and ensure the job done within the HR timeline.
  • assisting Chair/designee in preparing departmental budgets and participate in related meetings
  • Assist manager for Department fund & medical college BVR, maintain proper record of faculty expenditures.
  • Facilitate faculty members for official travel and provide logistic support.
  • Prepare departmental payment reimbursements, petty cash and liaise with finance related issues
  • Conduct patient quality rounds / quality technical rounds once a day/week.
Requirements

You should have:

· Bachelor's degree, preferably a Master's from an HEC recognized institute

· at least 3-5 years of relevant experience

· excellent communication and interpersonal skills

· fluency in written and spoken English is a must

· proficient in use of computer packages e.g. MS Office.
