Virtual Property Manager Role

We are seeking a highly organized and tech-savvy Virtual Property Manager to support the executive operations of our company.

Job Description:

This role involves managing day-to-day operations, enhancing business outcomes, and driving real estate growth. The Virtual Property Manager will be responsible for owning the communication hub between ownership and property management teams, ensuring alignment with the principal's investment strategy and vision.

Key Responsibilities:
  1. Ownership Liaison & Property Oversight: Act as the primary point of contact between ownership and property management teams, ensuring effective communication and collaboration.
  2. Daily Operations & Task Management: Manage maintenance tasks, utilities, and vendor coordination, maintain order across internal systems and digital documents.
  3. Leasing & Property Support: Monitor leasing activity, ensure timely follow-ups, and maintain up-to-date rent rolls, lease data, and compliance records.
  4. Maintenance & Vendor Coordination: Schedule, follow up, and ensure completion of work orders and projects, negotiate service agreements, and evaluate vendor performance.
  5. Financial Oversight & Administrative Support: Track rent collections, assist with accounting reports and delinquencies, and maintain precise records.
  6. Executive Assistance: Manage the principal's calendar, communications, and meeting logistics, draft correspondence, and organize notes.
  7. Acquisition & Sales Support: Assist in tracking real estate listings, broker packages, and investment deals, support underwriting analysis and initial deal evaluations.
  8. Tech & Systems Optimization: Maintain digital file systems, streamline internal workflows, and troubleshoot tools such as Buildium, AppFolio, and Google Workspace.
Requirements:
  • 2+ years of experience supporting an executive or managing real estate operations.
  • Exceptional written and verbal English communication.
  • Strong analytical and financial skills.
  • Proficiency with tools such as Buildium, AppFolio, Google Workspace, and Excel.
  • Bachelor's Degree in Business, Real Estate, or a related field is a plus.
  • Familiarity with the real estate market is a plus.
