Client Operations Specialist

We're seeking a highly organized and detail-oriented Client Operations Specialist to join our team. This role will be responsible for ensuring the smooth execution of client programs, from setup to rollout.

  • Key Responsibilities:
    • Track client program progress using backend data, including evaluations, pilots, and engagement metrics.
      • Set up and configure client program portals, accounts, and test environments ahead of launches.
        • Summarize performance insights to highlight trends and opportunities for improvement.
          • Prepare materials for internal meetings and client updates.
            • Communicate with clients via email about shipment updates, schedules, and meeting coordination.
              • Help organize calendars and ensure smooth collaboration across teams.
            • Operations & Administration:
              • Prepare and organize shipping documents and waybills for both incoming and outgoing shipments.
                • Maintain accurate and up-to-date inventory records to ensure clear visibility for the team
                  • Maintain accurate client and deal data in CRM systems like Pipedrive and Custify.
                    • Keep internal spreadsheets and tracking tools tidy and current.
                      • Conduct small-scale research to support internal processes and cross-team initiatives.
                        • Carry out other research tasks as needed to help with company operations.
                      • Requirements:
                        • Detail-oriented and organized with a passion for bringing order to complex processes.
                          • Experience in operations, administration, or client coordination.
                            • Comfortable juggling multiple priorities in a fast-moving environment.
                              • Excellent communication skills with the ability to make information easy to understand.
                                • Curious and proactive with a desire to improve processes.
                                  • Proficient in Microsoft Office suite with strong Excel skills.
                                • Bonus Points:
                                  • Experience with CRM systems like Pipedrive or Custify.
                                    • Understanding of AgeTech, healthtech, or IoT products.
