Job Description:

In this Executive Assistant role, you will play a crucial part in supporting our executive team. You will be responsible for managing schedules, coordinating meetings, handling confidential information, and providing administrative support. Strong communication skills, attention to detail, and the ability to multitask are essential for success in this position.

Key Responsibilities:
  1. Scheduling: Coordinate and manage the schedules of senior executives, including scheduling meetings, appointments, and travel arrangements.
  2. Communication: Handle incoming and outgoing communications on behalf of the executives, including emails, phone calls, and written correspondence.
  3. Meeting Preparation: Organize and prepare for meetings, including booking venues, preparing agendas, and taking minutes.
  4. Document Preparation: Prepare and edit documents, reports, and presentations with a high degree of accuracy and professionalism.
  5. Travel Coordination: Arrange domestic and international travel, including flights, accommodations, and itineraries.
  6. Confidentiality: Maintain strict confidentiality and discretion with all sensitive information and communications.
  7. Office Support: Assist with office management tasks, including ordering supplies, maintaining records, and coordinating with vendors.
  8. Project Support: Provide support on special projects and initiatives as required by the executive team.
  9. Relationship Building: Build and maintain strong relationships with internal and external stakeholders.
  10. Internal Calls: Manage incoming and outgoing calls via Zoom.
Qualifications:
  1. Experience: A minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.
  2. Education: A relevant diploma or degree in business administration or a related field is preferred.
  3. Skills: Excellent organizational and time-management skills, strong written and verbal communication abilities, and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Fluency in English is required.
  4. Attributes: Proactive, detail-oriented, adaptable, and able to work independently as well as part of a team.
  5. Professionalism: A high level of professionalism and the ability to handle sensitive and confidential information with discretion.
