About the Role

This is an exciting opportunity to work closely with senior executives and contribute to the success of our organization.

Main Responsibilities
  1. Schedule Management: Coordinate complex schedules, meetings, appointments, travel, and events across multiple time zones.
  2. Executive Support: Provide administrative support to senior executives, handling emails, calls, and other communications as needed.
  3. Meeting Preparation: Prepare agendas, take meeting minutes, and ensure follow-ups are completed.
  4. Travel Planning: Arrange flights, hotels, transportation, and prepare detailed itineraries for both domestic and international travel.
  5. Project Collaboration: Assist in planning, execution, and monitoring of special projects; collaborate with other departments as required.
  6. Confidentiality: Handle sensitive information with integrity and confidentiality.
  7. Financial Management: Track and report executive expenses, process reimbursements, and support budgeting tasks.
  8. Document Creation: Prepare reports, presentations, spreadsheets, and other documents as needed.
  9. Relationship Building: Liaise with internal staff, clients, vendors, and stakeholders on behalf of the executive.
Requirements
  • Bachelor's degree preferred; additional certification in office management is a plus.
  • 3+ years of experience in a similar role supporting C-level executives.
  • Excellent written and verbal communication skills.
  • Strong organizational, time management, and multitasking skills.
  • High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and productivity tools (Google Workspace, Zoom, etc.).
  • Ability to work independently, anticipate needs, and exercise sound judgment.
  • Experience managing confidential and sensitive information.
