Import Operations Coordinator Job Description

We are seeking a skilled Import Operations Coordinator to oversee the import process, ensuring seamless execution of transactions and maintaining accurate records.

Main Responsibilities

  • Enter data into our internal software system for all purchase, sales, and trade documents.

  • Maintain comprehensive documentation for imports, including Purchase Orders, Proforma Invoices, LCs, Commercial Invoices, Packing Lists, and Bills of Lading.

  • Track shipment timelines, document submissions, approvals, and payment statuses accurately.

  • Cordinate with customers on LC opening, bank processing, and approvals to ensure timely transaction execution.

  • Resolve document discrepancies or operational delays by communicating with banks, customers, and clearing agents.

  • Record supplier commissions and ensure timely collection.

  • Maintain digital and physical filing systems for all trade-related documentation.

  • Ensure consistency and accuracy in all ledger entries and records.

Required Skills and Qualifications

  • Bachelor's degree; preference given to B.Com or accounting background.

  • 1–2 years of experience in import/export coordination, accounting support, or data entry preferred (fresh graduates welcome).

  • Familiarity with LCs, Incoterms, HS codes, and international shipping documents.

  • Strong Excel skills, Outlook proficiency, and data/document management expertise.

  • Highly organized with strong attention to detail and ability to handle multiple shipments simultaneously.

  • Comfortable communicating in both English and Urdu.
