Project Coordinator

The role of the Project Coordinator is to orchestrate, execute, and finalize projects within strict deadlines while adhering to budgets. This entails acquiring resources and coordinating team member efforts along with third-party contractors or consultants to deliver projects according to plan.

Responsibilities
  1. Direct and manage project development from initiation to completion.
  2. Define project scope, objectives, and deliverables that align with business goals in collaboration with senior management and stakeholders.
  3. Develop comprehensive project plans and associated communications documents.
  4. Effectively communicate project expectations to team members and stakeholders in a timely manner.
  5. Liaise with project stakeholders regularly.
  6. Estimate the necessary resources and participants required to achieve project objectives.
  7. Draft and submit budget proposals, recommending subsequent adjustments as needed.
  8. Negotiate with other department managers for the acquisition of required personnel from within the organization.
  9. Assess the need for additional staff or consultants during the project cycle and make necessary recruitments.
  10. Set and continually manage project expectations with team members and other stakeholders.
  11. Delegate tasks and responsibilities to suitable personnel.
  12. Identify and resolve issues and conflicts within the project team.
  13. Manage project dependencies and critical path.
  14. Plan and schedule project timelines and milestones using appropriate tools.
  15. Monitor project progress and achievements.
  16. Develop and disseminate regular progress reports, proposals, requirements documentation, and presentations.
  17. Determine the frequency and content of status updates from the project team, analyze results, and troubleshoot problem areas.
  18. Proactively manage changes in project scope, identify potential crises, and devise contingency plans.
  19. Define project success criteria and disseminate them to involved parties throughout the project lifecycle.
  20. Mentor, motivate, and supervise project team members and contractors, influencing them to take positive action and accountability for their assigned work.
  21. Build, develop, and foster essential relationships vital to project success.
  22. Conduct post-project evaluations and create a recommendations report to identify successful and unsuccessful project elements.
  23. Document best practices and tools for project execution and management.
Job Requirements
  • 5-8 years direct experience in a project coordination capacity, encompassing all aspects of process development and execution.
  • Familiarity with project management software.
  • Database and operating system experience.
  • Demonstrated ability in personnel management.
  • Technical competence with various software applications, such as project management and Primavera.
  • Capacity to work both independently and collaboratively in a team-oriented environment.
  • Ability to adapt to shifting priorities, demands, and timelines through analytical and problem-solving capabilities.
  • Prompt response to project adjustments and alterations.
  • Flexibility during periods of change.
  • Aptitude to comprehend communication styles of team members and contractors from diverse backgrounds.
  • Persuasive, encouraging, and motivating.
  • Able to elicit cooperation from a wide range of sources, including upper management, clients, and other departments.
  • Able to defuse tension among project team members, if necessary.
  • Able to successfully conclude projects through political acumen.
  • Strong written and oral communication skills.
  • Effective interpersonal skills.
  • Adept at researching project-related topics and products.
  • Able to learn, understand, and apply new technologies.
  • Customer service skills an asset.
  • Able to effectively prioritize and execute tasks in high-pressure situations.
Work Conditions
  • Overtime may be required to meet project deadlines.
  • Sitting for extended periods.
  • Dexterity of hands and fingers to operate a computer keyboard, mouse, and other devices.
  • Some travel may be required for meetings with clients, stakeholders, or off-site personnel/management.
  • At least one complete project to credit.
  • Able to comprehend and implement cGMP and pharmaceutical engineering guidelines as per multinational requirements.
  • Must fully understand zoning and HVAC requirements and incorporate these into design and construction.
  • Must possess excellent communication skills, especially for producing timely reports.
  • Must have hands-on experience with project management skills and be able to use Primavera / MS Project to track progress.
  • Coordinate with various contractors and ensure timely resolution of issues between them.
