We are seeking a highly motivated individual to fill the role of Procurement Systems Manager.

Job Summary

This position is responsible for overseeing the procurement process, ensuring it remains up-to-date and aligned with our organization's needs.

Main Responsibilities
  • Manage the procurement system to ensure it meets the company's requirements.
  • Liaise closely with the Head of Supply Chain to refine vendor selection criteria and ensure alignment with organizational objectives.
  • Diligently monitor purchase orders (POs) and assign tasks to team members as needed.
  • Carefully calculate lead times on each PO following negotiations with vendors/suppliers, taking into account our procurement cycle.
  • Regularly conduct inventory checks to determine when parts should be imported for the next order placement.
  • Plan imports considering material requirement timelines and freight delivery schedules, sourcing suitable vendors accordingly.
  • Maintain critical communication with all stakeholders, including regular updates shared with the Head of Supply Chain.
  • Thoroughly review shipping documents (invoice, packing list, B/L, FTA, etc.) and other certificates to ensure accuracy and compliance.
  • Accurately maintain all import documentation, reflecting our commitment to transparency and accountability.
  • Negotiate with suppliers, indenters, and clearing agents to secure optimal freight rates and services.
  • Ensure effective coordination with stores, monitoring stock levels against reorder points.
  • Conduct quarterly performance reviews to set, review, and revise performance standards and Key Result Areas (KRAs) for direct reportees. Regular performance monitoring sessions will also be scheduled as needed.
  • Conduct selection interviews for staff required to join the department.

  • 5-7 years' experience in a relevant field.
