Job Overview:
  • The Executive Assistant will provide administrative support to the Head of Function, managing calendars, medical claims, travel & entertainment expenses, and other tasks.
  • The role involves overseeing travel arrangements, booking flights and hotels, and coordinating visa applications.
  • The successful candidate will organize departmental meetings and events, ensuring seamless execution, and coordinate cross-functional meetings with stakeholders.
  • This position requires expertise in T&E portal management, troubleshooting user issues, monitoring ageing claims, ensuring correct submissions, conducting training on T&E policies, and circulating regular educational communications.
  • The Executive Assistant will manage purchase orders, vendor invoices, track departmental T&E budgets, consolidate reports, and maintain records of POs, GRNs, and invoices while liaising with internal and external stakeholders.
Requirements:
  • A minimum of 3 to 4 years of experience as an Executive Assistant.
  • A bachelor's degree in any relevant field.
  • Proficiency in administrative tasks and support systems, with strong command of English and expertise in MS Teams and MS Office tools.
  • Excellent communication skills, strong stakeholder management, and the ability to independently handle administrative tasks and resolve related issues.
  • Proactiveness, ownership, and drive, along with strong teamwork and interpersonal skills.
