As an Executive Assistant, you will play a vital role in supporting our executive team in their day-to-day activities. This includes managing schedules, coordinating meetings, and handling confidential information.
Key Responsibilities:
- Manage the calendars of senior executives, including scheduling meetings, appointments, and travel arrangements.
- Handle incoming and outgoing communications on behalf of the executives, including emails, phone calls, and written correspondence.
- Coordinate meetings, including booking venues, preparing agendas, and taking minutes.
- Prepare and edit documents, reports, and presentations with a high degree of accuracy and professionalism.
- Arrange domestic and international travel, including flights, accommodations, and itineraries.
- Maintain strict confidentiality and discretion with all sensitive information and communications.
- Assist with office management tasks, including ordering supplies, maintaining records, and coordinating with vendors.
- Provide support on special projects and initiatives as required by the executive team.
- Build and maintain strong relationships with internal and external stakeholders.
- Manage incoming and outgoing calls via Zoom.
Requirements:
- Minimum 3 years of experience as an Executive Assistant or in a similar administrative role.
- Relevant diploma or degree in business administration or a related field is preferred.
- Excellent organizational and time-management skills, strong written and verbal communication abilities, and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Must speak fluent English.
- Proactive, detail-oriented, adaptable, and able to work independently as well as part of a team.
- High level of professionalism and the ability to handle sensitive and confidential information with discretion.
