Job Overview

This role involves providing comprehensive administrative support to the Academics department, encompassing a range of tasks that contribute to the smooth operation of the team.

Main Responsibilities
  1. Data Management: Collect and forward student data for registration purposes, ensuring accurate and timely completion of postgraduate student registrations with the University.
  2. Invoicing: Prepare direct invoices on SAP (External Bills / Supervisors' Bills) in accordance with established procedures.
  3. Course Administration: Manage Course Offering and Module Appraisal on SAP, maintaining up-to-date records and facilitating effective course delivery.
  4. Event Planning: Coordinate event planning on SAP and Unitime, ensuring seamless execution of academic events and activities.
  5. Student Support: Handle student module booking on SAP, providing essential support to students throughout their academic journey.
  6. Assistance: Assist faculty members during final appraisal and module results on SAP, promoting collaboration and communication within the department.
  7. Office Support: Provide day-to-day office assistance to the Assistant Manager Academics, ensuring the efficient management of administrative tasks.
  8. Secretarial Support: Offer comprehensive secretarial and clerical support to all staff and management, contributing to a productive work environment.
  9. Viva Examinations: Support PhD & M. Phil Viva Voce Examinations, playing a vital role in the assessment and evaluation process.
  10. Application Processing: Process student applications, streamlining the admissions process and ensuring prompt responses to applicants.
  11. Student Support: Provide guidance and support to students regarding Moellim and SAP-related issues, fostering a supportive learning environment.
  12. Admissions Support: Assist the Admissions Department in conducting admission tests, contributing to the fair and transparent evaluation process.
  13. Ongoing Tasks: Perform any additional duties assigned by the Dean/Director, demonstrating adaptability and a commitment to supporting the department's goals.
Requirements and Qualifications

To be successful in this role, candidates should possess excellent organizational and communication skills, as well as the ability to work effectively in a fast-paced environment.

The ideal candidate will have prior experience in administrative roles, with a strong understanding of administrative software and systems.
