Overview

The Senior Executive Assistant plays a pivotal role in supporting the Citi Country Officer and Banking Head, providing exceptional administrative assistance to ensure seamless operations within the franchise.

Key Responsibilities Include:

  1. Directly supports the Citi Country Officer and Banking Head by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements, and providing other administrative tasks.
  2. Manages day-to-day calendar(s) of Citi Country Officer and Banking Head.
  3. Covers all aspects of executive-level manager appointments, meetings, receptions, and conference calls.
  4. Prepares and reviews materials and correspondence for meetings.
  5. Assists with creation/modification of presentations, spreadsheets, and other various documents.
  6. Plans and arranges travel schedules, agendas, and visa invitations.
  7. Liaises with consulates for visa-related matters.
  8. Manages international traveler logistics, including car transportation, security arrangements, and hotel coordination.
  9. Reconciles and tracks expense reports through Travel and Entertainment Expense system.
  10. Handles regulatory correspondence dissemination and reporting for CCO travel.
  11. Manages contract lifecycle for NEMs.
  12. Oversees billing-related activities for trade associations associated with the franchise.
  13. Orders supplies and processes invoices through Procure to Pay system.
  14. Processes and follows-up on Virtual Requests.
  15. Supports ad-hoc reports and special projects as needed.
  16. Trains, coaches or guides other administrative staff when required.
  17. Obtains CGE approvals for the CCO office, particularly for activities related to government officials.
  18. Covers Power of Attorney (POA) documentation.
  19. Provides backup support to EPSA in managing client and employee events.
  20. Evaluates risk when business decisions are made, demonstrating consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.
