
High-Level Administrative Support Specialist

Job Description
- Develop and maintain efficient office systems, ensuring seamless data management and filing processes.
- Arrange travel, visas, and accommodations as needed, occasionally accompanying the Director to meetings or presentations.
- Screen and handle phone calls, enquiries, and requests in a professional manner.
- Meet and greet visitors at all levels of seniority, providing exceptional customer service.
- Organize and maintain diaries, making appointments on behalf of the Director.
- Manage incoming email, faxes, and post, often corresponding on behalf of the Director.
- Conduct background research and present findings to inform decision-making.
- Produce high-quality documents, briefing papers, reports, and presentations.
- Coordinate meetings and ensure the Director is well-prepared for engagements.
- Liaise with clients, suppliers, and other staff members.
- Pursue specific projects and research initiatives.
- Oversee accounts and budgets, exercising financial responsibility.
- Deputize for the Director, making decisions and delegating tasks in their absence.
- Participate in strategic decision-making processes.
