Administrative Support Specialist

This role involves providing high-level administrative support to Senior Management, ensuring the smooth operation of day-to-day activities. The successful candidate will be responsible for managing front desk operations, including setting up meetings, appointments, and video calls.

Main Responsibilities:
  • Efficiently manage front desk operations to maintain a positive and productive work environment.
  • Provide logistical support for meetings, appointments, and video calls for Senior Management.
  • Maintain accurate attendance records for head office Admin staff using both manual and electronic methods.
  • Handle incoming and outgoing mail and courier deliveries, ensuring timely distribution and maintaining detailed records.
  • Offer administrative support to General Managers and Directors, including document preparation, information management, and minute taking.
  • Liaise between Senior Management and Company employees to facilitate effective communication and collaboration.
  • Manage projects and organize events as required, demonstrating strong organizational and time management skills.
  • Supervise office maintenance and cleaning to ensure a safe and healthy working environment.
  • Oversee the management of the Company vehicle fleet, including maintenance and insurance processes.
  • Coordinate travel arrangements for Senior Management, including flights, accommodation, itineraries, and visas.
Requirements:
  1. Bachelor's degree preferred, with 3-5 years of experience in a similar role.
  2. Proficiency in operating PABX systems is essential.
  3. Experience in business-related travel arrangements and administrative support is highly desirable.
  4. Familiarity with utility agencies and correspondence with vendors is an advantage.
  5. Knowledge of office security, maintenance, and vehicle insurance processes is necessary.
