Executive Administrative Assistant

About the Role

This is a high-level administrative support position that requires exceptional organizational abilities, excellent interpersonal skills, and a proven track record of managing multiple tasks efficiently.

Key Responsibilities
  • Manage Scheduling: Oversee comprehensive scheduling and logistical support for senior leadership, including agenda preparation, correspondence management, call coordination, travel planning, and internal operations.
  • Coordinate Calendars: Coordinate complex calendar activities and scheduling requirements to ensure seamless management of information flow and meeting logistics.
  • Maintain Confidentiality: Uphold the highest standards of professionalism and confidentiality in handling sensitive materials and communications.
  • Serve as Liaison: Facilitate effective communication and collaboration between executives, staff, clients, and external stakeholders.
  • Welcome Visitors: Greet and screen all visitors, assess their needs, and provide courteous, professional assistance aligned with organizational standards.
  • Arrange Travel: Manage both domestic and international travel arrangements, including itineraries, accommodations, and transportation.
  • Support Email Correspondence: Provide high-level administrative support by drafting and managing email correspondence on behalf of senior leadership.
  • Plan Events: Plan, coordinate, and execute corporate events such as team-building initiatives, award ceremonies, and off-site strategic sessions.
  • Maintain Event Budget: Monitor the events budget, ensuring accurate documentation of all event-related expenditures and financial records.
  • Draft Communications: Assist in drafting, editing, and distributing internal and external communications, including emails, newsletters, and press releases.
  • Prepare Presentations: Prepare presentations and marketing materials for executive meetings, client briefings, and public events.
Requirements
  • Exceptional Organization: Exceptional organizational abilities with a proven track record of managing and prioritizing multiple tasks efficiently.
  • Interpersonal Skills: Excellent interpersonal skills, with the capability to establish and nurture effective relationships with internal and external stakeholders.
  • Experience: Minimum of 3-5 years of relevant experience in a comparable role, supported by a Bachelor's or Master's degree.
  • Language Proficiency: Proficient in English, with strong communication skills.
  • Microsoft Office Skills: Skilled in Microsoft Office applications, including Word, Excel, PowerPoint, and Project.
  • Communication Abilities: Advanced written and verbal communication abilities, with a professional and articulate approach.
  • Discretion: Demonstrated discretion in handling sensitive and confidential information.
  • Time Management: Proven capability to deliver high-quality results and consistently meet deadlines in dynamic environments.
