Synergize Operations with Automated Solutions

Are you a problem-solver who excels in building and managing efficient systems? We're looking for an Automations Specialist to join our team, where you'll have the opportunity to optimize workflows, refine processes, and support our day-to-day operations.

As an Automations Specialist, you will work closely with department leads to understand and enhance processes. You will document and refine Standard Operating Procedures (SOPs), build and manage automations using HubSpot Workflows and Zapier, troubleshoot and optimize existing automations, organize and maintain documentation of automations per department, offer onboarding and admin support within the Business Operations team, and assist with other administrative tasks as needed.

Key Responsibilities:

  • Collaborate with department leads to identify areas for process improvement.
  • Develop and maintain SOPs for new and existing processes.
  • Design and implement automations using HubSpot Workflows and Zapier.
  • Analyze and troubleshoot automation issues to ensure reliability and efficiency.
  • Maintain accurate and up-to-date documentation of automations per department.
  • Provide onboarding support and administrative assistance to the Business Operations team.
  • Assist with other administrative tasks as needed.

Requirements:

  • At least 1 year of hands-on experience with HubSpot backend (automations, object/data management).
  • At least 1 year of hands-on experience with Zapier (creating and refining workflows).
  • Strong knowledge of Google Workspace—especially Google Sheets.
  • Naturally curious, eager to learn new tools, and always looking for better ways to do things.
  • Able to break down complex processes and communicate clearly.
  • Comfortable managing multiple priorities across different teams.

Bonus Points:

  • Experience with Apollo.io or Instantly.ai.
  • A knack for solving problems and a proactive approach.
  • Great attention to detail—especially when working with data.
  • A team-first attitude and excellent communication skills.

Technical Setup:

  • A reliable desktop or laptop (minimum Ryzen 3 or Core i3 with 8GB RAM).
  • Stable internet connection (minimum 20 Mbps via LAN).
  • Backup internet connection (at least 5 Mbps).
  • Access to backup power or a backup location in case of outages.
