Job Description

As an Office Operations Manager, you will play a crucial role in ensuring the smooth operation of our office. Your duties will include managing calendars, coordinating meetings, handling confidential information, and providing administrative support. Key Responsibilities:

  1. Calendar Management: Schedule meetings, appointments, and travel arrangements for staff members.
  2. Communication: Handle email, phone call, and written correspondence on behalf of staff members.
  3. Meeting Coordination: Book venues, prepare agendas, and take minutes for meetings.
  4. Documentation: Prepare and edit documents, reports, and presentations accurately and professionally.
  5. Travel Arrangements: Book flights, accommodations, and itineraries for domestic and international travel.
  6. Confidentiality: Maintain confidentiality and discretion when handling sensitive information.
  7. Office Management: Assist with office management tasks such as ordering supplies and maintaining records.
  8. Support Projects: Provide support on special projects as needed.
  9. Relationship Management: Foster strong relationships with internal and external stakeholders.
  10. Internal Communication: Manage incoming and outgoing calls via Zoom.
