
Administrative Operations Specialist

This role is pivotal in ensuring seamless execution from initial shipment to full-scale rollout of life-changing AgeTech solutions.
The ideal candidate will be at the heart of our AgeTech initiatives, responsible for client evaluation and reporting. Key responsibilities include:
- Client Evaluation & Reporting
- Track client program progress using backend data, including evaluations, pilots, and engagement metrics.
- Summarize performance insights to highlight trends and opportunities for improvement.
- Prepare materials for internal meetings and client updates.
- Communicate with clients via email about shipment updates, schedules, and meeting coordination.
- Help organize calendars and ensure smooth collaboration across teams.
- Operations & Administration
- Prepare and organize shipping documents and waybills for both incoming and outgoing shipments.
- Maintain accurate and up-to-date inventory records to ensure clear visibility for the team.
- Maintain accurate client and deal data in CRM systems like Pipedrive and Custify.
- Keep internal spreadsheets and tracking tools tidy and current.
- Conduct small-scale research to support internal processes and cross-team initiatives.
- Carry out other research tasks as needed to help with company operations.
Requirements:
- Experience in operations, administration, or client coordination.
- Comfortable juggling multiple priorities in a fast-moving environment.
- Strong communication skills and ability to make information easy to understand.
- Proficient in Microsoft Office suite, with strong skills in Excel.
