Key Responsibilities

The successful candidate will be responsible for providing administrative support to the Chair in managing the department's finance, administration, personnel, and logistics functions. This includes education, training, clinical services, and innovation within or formally associated with the department.

Specific responsibilities include:

  • Preparing schedules for faculty tutorials and case presentations, making logistical arrangements for core modules, collecting evaluations from residents, and arranging OSCE logistics.
  • Managing office supplies, including stationery, and purchasing requests, maintaining an adequate inventory, and ensuring timely availability.
  • Facilitating rotating residents for timely submission of PGME forms from faculty and ensuring timely handovers.
  • Assisting the PGME program director and coordinator in tasks as assigned and preparing PGME-related reports.
  • Providing assistance to various faculties on travel, ongoing projects, dossiers, and day-to-day departmental logistics.
  • Compiling resident data and preparing quarterly letters for feedback and annual letters for annual feedback.
  • Following exit lists, collecting office-provided accessories, and ensuring completion within the HR timeline.
  • Assisting the Chair/designee in preparing departmental budgets and participating in related meetings.
  • Maintaining proper records of faculty expenditures and facilitating faculty members for official travel and logistic support.
  • Preparing departmental payment reimbursements, petty cash, and liaising with finance-related issues.
Requirements

Candidates should possess:

a Bachelor's degree, preferably a Master's from a recognized institution;

at least 3-5 years of relevant experience;

excellent communication and interpersonal skills;

fluency in written and spoken English;

and proficiency in using computer packages such as MS Office.
