
Administrative Support Professional

We are seeking an organized, detail-oriented Office Administrator to manage the day-to-day administrative operations of our office. This role is crucial in maintaining a productive and well-functioning workspace, supporting various teams, and ensuring smooth internal processes.
The ideal candidate will be responsible for maintaining logs and tracking issuance/returns of all office assets, overseeing regular asset maintenance and servicing, collecting and verifying office expenses and employee reimbursements, and ensuring daily office cleanliness and coordination with maintenance staff.
The successful candidate will also be responsible for managing vendor relations, quotations, deliveries, and payment records, organizing logistics for meetings, trainings, and internal events, acting as the central point for administrative support and interdepartmental coordination, handling office calls and general inquiries, and maintaining a complete and up-to-date employee directory.
Key Responsibilities:- Maintain accurate and up-to-date records of office assets, including issuance and return dates, and perform regular checks to ensure that assets are properly maintained and serviced.
- Collect and verify office expenses and employee reimbursements, and process payments accordingly.
- Ensure that the office is clean and tidy at all times, and coordinate with maintenance staff to address any issues or concerns.
- Manage relationships with vendors, including negotiating contracts, processing orders, and resolving any issues that may arise.
- Organize logistics for meetings, trainings, and internal events, including arranging refreshments and setups.
- Act as the central point for administrative support and interdepartmental coordination, providing assistance and guidance to team members as needed.
- Handle office calls and general inquiries, providing information and support to callers.
- Maintain accurate and up-to-date employee directories, including onboarding and offboarding records.
- Track attendance, leaves, and absences, and prepare monthly summaries for HR.
- Monitor and reorder office supplies, and maintain inventory records.
- Identify and resolve infrastructure issues promptly.
- Bachelor's degree in Business Administration, Management, or a related field.
- 2+ years of experience in office administration or a similar role.
- Strong command of Microsoft Office (Word, Excel, Outlook).
- Excellent communication, time management, and organizational skills.
