We are seeking a highly motivated Operations and Administration Specialist to join our team.

Job Summary

This role is responsible for providing operational support to the organization, including managing administrative procedures and systems. The ideal candidate will have excellent organizational and communication skills, with the ability to work independently and as part of a team.

Key Responsibilities
  1. Process Improvement: Identify areas for improvement in existing administrative procedures and develop strategies to increase efficiency.
  2. Staff Management: Recruit, train, and allocate responsibilities to personnel, ensuring maximum productivity and job satisfaction.
  3. Performance Evaluation: Assess staff performance and provide coaching and guidance to ensure that employees are meeting their goals and objectives.
  4. Communication: Ensure the smooth and adequate flow of information within the organization, facilitating other business operations.
  5. Scheduling: Manage schedules and deadlines, ensuring that tasks are completed on time and to a high standard.
  6. Inventory Management: Monitor inventory of office supplies and make recommendations for purchasing new material, taking into account budgetary constraints.
  7. Cost Control: Monitor costs and expenses to assist in budget preparation, identifying areas where savings can be made.
  8. Facilities Management: Oversee facilities services, maintenance activities, and trades-persons, ensuring that all facilities are safe and functional.
  9. Event Planning: Organize and supervise other office activities, such as recycling, renovations, and event planning.
  10. Policies and Procedures: Ensure that operations adhere to policies and regulations, maintaining a high level of compliance.
