Role Purpose:
The
Department Coordinator
will provide comprehensive administrative and organizational support to the
Procurement Directors
and their teams. This role ensures smooth day-to-day operations, efficient communication, and timely execution of tasks within the Procurement function.

Key Responsibilities:

  • Manage calendars, schedule meetings, and coordinate appointments for the Procurement Directors.
  • Handle travel arrangements, including booking flights, hotels, and managing visa processes for intercity and international trips.
  • Prepare reports, presentations, and meeting documentation as required.
  • Maintain and organize departmental files, records, and correspondence.
  • Support the procurement team in managing administrative tasks and follow-ups.
  • Coordinate with internal and external stakeholders to ensure timely completion of projects and deliverables.
  • Track expenses and assist in budget-related documentation when needed.
  • Ensure confidentiality and professionalism in all communications and documentation.

Requirements:
Experience:
2-3 years of experience in administrative or coordination roles,preferably supporting senior leadership.

Skills:

  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in MS Office Suite (Excel, PowerPoint, Word) and collaboration tools (Outlook, Teams, SharePoint).
  • Ability to manage multiple priorities and work effectively under pressure.
