Job Summary:

We are seeking a highly organized and proactive
Executive Secretary
to provide comprehensive administrative and secretarial support to senior management. The ideal candidate will act as the point of contact for internal and external stakeholders, manage schedules, and ensure efficient day-to-day operations.

Key Responsibilities:

  • Provide high-level administrative and secretarial support to senior executives.
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Draft, review, and prepare correspondence, reports, and presentations.
  • Handle confidential information with discretion and maintain filing systems.
  • Arrange travel itineraries, visas, accommodation, and logistics.
  • Liaise with internal teams and external stakeholders on behalf of executives.
  • Organize and coordinate meetings, conferences, and official events.
  • Monitor and prioritize incoming communications (emails, calls, documents).
  • Prepare meeting agendas, record minutes, and follow up on action items.
  • Support in documentation, expense reporting, and office administration tasks.

Qualifications & Requirements:

  • Bachelor's degree in Business Administration, Office Management, or a related field.
  • Minimum 5 years of proven experience
    as an Executive Secretary, Personal Assistant, or in a similar role.
  • Experience in working with C-level executives.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent written and verbal communication skills
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with
    AI-based productivity tools
    (e.g., ChatGPT, Microsoft Copilot, AI scheduling or automation tools) to enhance efficiency.
  • Ability to handle sensitive information with integrity and confidentiality.
  • Professional demeanor, strong interpersonal skills, and attention to detail.
  • Strong problem-solving skills and proactive mindset.
  • Knowledge of office management systems and procedures.
