Job Purpose:

  • Oversee the safe receipt, storage, retrieval, and timely dispatch of goods. Ensure workplace health and safety requirements are met and responsible for the security of the warehouse and stocks.
  • Plan the arrangement of goods within the warehouse and organize special requirements for certain stock, such as chilled goods or fragile product
  • Ensure productivity targets are met in cost affective manners.
  • Manage teams of workers and deal with personnel issues such as the recruitment, Training, and discipline of staff. Maintaining Inventory accuracy as per the policy

Key Responsibilities:

E2E FINISHED GOOD OPERATIONS:

  • Ensure that End to End Process of Finished Good Warehouse is followed as per policies. Including that pallet are placed on racks in their designated places assigned by the system (SAP) and the placement is posted using the RF guns, plan and manage the accurate and timely receiving of Finished Goods from Production against the Transfer Orders (TOs) issued by Production.  Rejected materials are appropriately stored in their designated area and dispose-off in line with the laid down procedures for their disposal. Plan and manage the dispatches of finished goods to CH branch plant, direct local and international customer according to the dispatch plan to ensure scheduled supplies of goods is not hampered.
  • Ready export consignment according to Export Packaging List. Stock accuracy and FIFO standards are applied to avoid expiry of products. To ensure to dispatch the stock accordingly to replenishment as given by commercial and to ensure stock rotation, keep accurate stock records and share with stakeholder. Maintains complete inventory control and warehouse records and manuals.
  • Comply and fulfil all responsibilities of Site Finished Goods Warehouse (Pallet capacity 160), 3PL Connect Logistic Warehouse Karachi (Pallet capacity 504) and 3PL Glacier Warehouse Multan (Pallet capacity 650) to ensuring maximum utilization of pallet capacity.
  • Comply and fulfil all responsibilities of warehouse Licensee as defined under Drug Act 1976, authorized signatory on warranty of Goods sold against Section 23 of the Drug Act 1976. Responsible for handling of Alternate Medicine and Health Products (HOTC Products).

E2E RAW MATERIAL OPERATIONS:

  • Supervises RM warehouse, receiving and issuance operations, warehouse team and arrange QA Sampling of incoming material. Safe handling of control substances. Maintains storage area by organizing floor space, adhering to storage design principles, and moves inventory by scheduling materials to be moved to and from warehouse, coordinating inventory transfers with related departments.
  • Keeping stock control systems up to date for future requirements and maintains inventory by conducting cycle count monthly physical counts; reconciling variances; inputting data. (Identifies and corrects inefficiencies in work processes and operator performances that contribute to errors in inventory, receiving/issuance management and product losses.
  • Comply and fulfil all responsibilities of Site Raw Material Warehouses (Pallet capacity 2400), and BOML Warehouse (Pallet capacity 600) to ensuring maximum utilization of pallets capacity.

E2E PACKAGING MATERIAL OPERATIONS:

  • Ensure that inbound packaging materials are palletized on clean pallets and appropriately labeled before being placed on the racks, and pallets are placed on racks in their designated places assigned by the system (SAP), and the placement is posted using the RE guns.
  • Plan and manage the movement of materials from the external warehouse (Kotri) in line with the production plan to ensure scheduled production is not hampered. Also, ensure the accurate and timely issuance of packaging materials to Production against the Transfer Orders (TOs) issued by Production.
  • Conducting inventory cycle count on monthly basis with physical counts and reconciling the variances (if found). Identifies and corrects inefficiencies in work processes and operator performances that contribute to errors in inventory, receiving/issuance management, and product losses.

E2E NON-TRADE WAREHOUSE OPERATIONS:

  • Maintain the MSL of all necessary engineering inventory items in Non-Trade WH (Engineering Store) and ensure availability of all necessary parts required in case of breakdown. Preparing of orders for inventory and production consumable (non-Inventory) Items in MERP. Preparing GRN / receipt for receiving of inventory items and maintain effective safety stocks of necessary machine inventory spares.
  • Issuance of production and factory consumables / cleaning and stationary items on monthly basis to each department as per requirements and keep record relevant documents.
  • Liaise with concerned engineering staff and procurement to ensure the material should be requisite against correct specifications. Posting of inventory received / purchase items from MERP(Ariba) on CMMS system, posting of inventory items issued / return parts on CMMS system through proper CMMS work orders timely. Creation of new inventory in CMMS system for short (1 to 6) items for any new machine or additional items of current machine as per requirement of site engineering team with proper documentations.
  • Liaise with concerned engineering staff to removal of obsolete / expired materials from Inventory after identification and approval of Engineering and site finance team. Share updated inventory list on monthly basis with VSLs, Engineering and Finance team. Preparing / updating Store & Spare SOPs as per company policy and requirements.
  • Comply and fulfil all responsibilities of CMMS (Inventory Items: 2343) and Consumable Items (150 Types) at site Non-trade Warehouse (Storage positions 1551).

E2E KOTRI WAREHOUSE (EXTERNAL):

  • Ensure that inbound packaging materials are palletized on clean pallets and appropriately labeled before being placed on the racks, and pallets are placed on racks in their designated places assigned by the system (SAP), and the placement is posted using the RE guns.
  • Plan and manage the movement of materials from the external warehouse (Kotri) in line with the production plan to ensure scheduled production is not hampered. Also, ensure the accurate and timely issuance of packaging materials to Production against the Transfer Orders (TOs) issued by Production.
  • Conducting inventory cycle count on monthly basis with physical counts and reconciling the variances (if found). Identifies and corrects inefficiencies in work processes and operator performances that contribute to errors in inventory, receiving/issuance management, and product losses.
  • Ensure Transportation / Warehouse billing and Agreements of 3rd party services.
  • Comply and fulfil all responsibilities of External Packaging Material Warehouse (Pallet capacity 3047) to ensure the maximum utilization of pallet capacity.

QMS / COMPLIANCE / AUDITS:

  • Conduct daily Gemba of the Warehouse to ensure that the warehouse is maintained in a condition acceptable to GMP, GWP, HSE, and Regulatory compliance standards.
  • Organize the execution of L1 audits for the warehouses by defining the audit universe, the audit frequency, audit timetable, and ensuring that the audits are conducted as per plan and ensure that actions against all identified gaps open in QWF in timely manner. Initiate Change Control of Warehouse department in QWF, assist the compliance/EHS department in carrying out L2 audits of the warehouse department.
  • Actively support timely completion of site DI plan deliverables, participate in DI forums, serve as a DI POC, and share DI communications with team via daily DI Talk. Identify opportunities to improve process & documentation to strengthen DI controls over data vulnerabilities for 100% DI compliance culture at site.
  • Lead the investigation of deviations reported in the ownership of relevant Value Stream and ensure that all deviations are closed within the established timelines. Ensure that eDM elements of Rapid Response and Real Time Investigation are met for the deviations in the ownership of relevant Value Stream.
  • Perform and lead Management monitoring (Self inspection) to identify good practices and observations in department with developed CAPA/action plan along with its timely completion as per approved schedule.
  • To ensure the FSSC 22000 established, implemented and maintained and updated, managing, and organizing the work of the food safety to achieve FSSC

EHS:

  • Act as the area EHS Risk Assessor and leads the risk assessment team in respective area and must be trained and competent in risk management as per LSOP for EHS risk assessment. Ensure all equipment is functioning within operational requirements, also assure all personnel are trained in the correct use of equipment and good warehouse operations.
  • Ensure that MHEs are maintained in workable conditions and that associates use the MHE in a safe manner ensuring safety of self, other personnel, and assets.

Others:

  • Strategically manage warehouse in compliance with company's policies and vision.
  • Set up a layout and ensure effective space utilization. Implement, coordinate, and enforce appropriate operational policies and procedures.
  • Adhere to all warehousing, handling and shipping legislation requirements.
  • Responsible to prepare DRA (Distribution Risk assessment) for Exports shipments.
  • Manage stock control and reconcile with the data storage system. Preparation of annual budget. Responsible to prepare and manage the CAPEX and OPEX.
  • Liaise with clients, suppliers and transport companies in coordination with Procurement.
  • Administering stock control and Liaison with Customers, Others department, Business Units, Excise and Another regulatory department.
  • Training, supervising, set objectives and appraising staff. Ensuring compliance with health and safety legislation.
  • Ensuring that quality objectives and delivery deadline are met.
  • Allocate and manage staff resources according to changing needs.
  • Ensuring timely arrangement of all transportation and logistics activities. .
  • Comply and ensure compliance to GMP (Good Manufacturing Practices), Quality and other related policies, guidelines, and requirements as applicable by law and Haleon Corporate Guidelines.
  • Comply and ensure compliance to Environment, Health and Safety policies, guidelines, and requirements as applicable by law and Haleon Corporate Guidelines
  • Any other responsibility assigned from time to time as per business requirements.

Skills and Competencies:

  • Master or Equivalent / Pharm-D
  • Warehousing & Logistics
  • 5 to 10 years of experience as a manager warehouse
