Role Description

Mapping & documentation of current business processes across all functions and OpCos within IBL Group, establishing a clear operational baseline that enables digitization, automation, and improved governance. This role will serve as the critical interface between business functions, technology teams, and transformation leadership to ensure accurate, structured, and actionable documentation of "how work actually happens" across the group.

Key Responsibilities

1. Process Mapping & Documentation

  • Conduct process discovery workshops with cross-functional teams to capture as-is business workflows
  • Create end-to-end documentation of current processes using tools like Lucidchart, Visio, etc.
  • Develop standardized process maps (swimlanes, SIPOCs, RACI, etc.) for each function
  • Identify handoffs, bottlenecks, dependencies, and compliance risks within existing workflows

2. Stakeholder Engagement

  • Collaborate with department heads, OpCo HR, Finance, Procurement, and other teams to validate processes
  • Facilitate interviews, group sessions, and feedback loops to ensure accuracy and completeness
  • Establish a consistent cadence of engagement with process owners to track changes and updates

3. Documentation Governance

  • Define and maintain a standard documentation structure and taxonomy across all functions
  • Create and maintain a centralized process repository that is searchable, secure, and version-controlled
  • Support onboarding and knowledge transfer through clean, role-specific process views

4. Foundation for Digitization

  • Work with the Transformation Office to link processes to technology systems for future digitization
  • Identify immediate areas for workflow automation, data capture, and system alignment

5. Reporting & Progress Tracking

  • Maintain weekly status reports on documentation progress and functional coverage
  • Prepare executive summaries with visual dashboards (in Power BI)
  • Support leadership in prioritizing process reengineering or optimization areas

Qualifications & Experience

  • Bachelor's degree in Business, Operations, or related field (Master's preferred)
  • 4–6 years' experience in business analysis, operations mapping, or transformation projects
  • Demonstrated experience in documenting large-scale cross-functional processes
  • Proficient in process mapping tools (Lucidchart, Miro, Visio, BPMN tools)
  • Exposure to ERP, HRIS, workflow systems, or shared services operating models is a plus
  • Strong communication, stakeholder facilitation, and writing skills
