Role Overview
The Human Capital Associate supports the Chief People Officer in managing the Human Capital department in a fully remote environment. This self-driven role focuses on six pillars—Hiring, Onboarding Training, Talent Management, Project Management, Knowledge Management, and Service Delivery Operations Support—to streamline HC operations, enhance employee engagement, and support service delivery excellence.
Key Objectives by Pillar
Hiring
- Assist in sourcing top candidates by understanding company resource needs and creating job objectives for roles to meet hiring priorities.
- Leverage strong interviewing skills and the ability to connect with people effectively to build a robust talent pipeline.
- Maintain and update the CRM database, ensuring accurate and organized candidate records in the Hiring Planner and CRM system.
- Support the Chief People Officer in coordinating with hiring managers to ensure effective recruitment processes.
Onboarding Training
- Coordinate the entire onboarding process with relevant stakeholders, creating training plans, sending relevant information and emails to new hires, and tracking progress.
- Maintain organization charts and update relevant documents and employee records to ensure a smooth onboarding process.
- Conduct company onboarding training sessions and assist with all onboarding-related tasks to ensure a seamless employee integration process.
Talent Management
- Serve as the first point of contact for employee queries, ensuring timely resolution and documentation of all employee matters (e.g., time-off, holidays).
- Push ongoing training and development initiatives to ensure continuous learning and growth across the organization.
- Coordinate quarterly performance assessment meetings with executives.
- Act as a Human Capital presence in all company-wide meetings to ensure operational and service delivery progress.
- Foster employee engagement by planning team socials to enhance team morale and connectivity.
- Coordinate the offboarding process, including conducting exit interviews and preparing reports for leadership.
Project Management
- Ensure employees adhere to project management protocols by auditing processes and preparing monthly reports.
- Collaborate with the Chief People Officer to set weekly priorities, update the Human Capital Planner, and track tasks via MS Planner to ensure timely completion.
- Continuously improve the project management process to enhance efficiency and effectiveness.
- Capture meeting notes and action items from weekly team meetings and touchpoints, ensuring department leads meet deadlines.
Knowledge Management
- Ensure knowledge is shared, circulated, and documented across the organization, maintaining organized document databases (e.g., project plans, onboarding checklists, meeting notes).
- Demonstrate expertise in creating documents and representing information in various formats, such as trackers, reports, and client presentations.
- Conduct quarterly documentation audits and host knowledge-sharing sessions to support company-wide initiatives (e.g., AI-focused discussions).
Service Delivery Operations Support
- Collaborate with the Chief People Officer to drive operational excellence by identifying process gaps, implementing new tools, and automating workflows for efficiency.
- Work with project managers and other roles to ensure excellence in client communication and delivery, while not directly engaging with clients.
- Facilitate cross-department collaboration to align HC initiatives across all departments (Marketing, Sales, Website).
- Monitor KPIs across departments, assisting in holding teams and individuals accountable to performance goals.
- Support service delivery by monitoring Teams channels, documenting issues, and collaborating with department leads in weekly meetings to ensure smooth operations.
Requirements
- 1-3 years of experience in human resources, talent management, or a related administrative role.
- Proficiency in Microsoft Teams, Outlook, Planner, CRM systems, and project management tools for task tracking, communication, and candidate database management.
- Strong organizational skills and a self-driven mindset to manage multiple priorities in a fast-paced environment.
- Excellent communication and interpersonal skills for interviewing, training, and employee engagement.
- Experience in recruitment, onboarding, and process optimization (preferred).
- Ability to create and manage documents in various formats (e.g., trackers, reports) with attention to detail.
- Ability to work remotely in Pakistan Standard Time (PKT), with a core schedule of 4 PM to 1 AM PKT, with flexibility to accommodate team needs.
- Degree in Human Resources, Business Administration, or a related field (preferred).
