Position Title: Project Coordinator

Reports to: Team Lead

Department: Project Management

Timings: 9:00 pm – 6:00 am (Night Shift)

Experience: 1-2 years

Job Purpose:

Coordinate and help track deliverables, progress, and metrics of current projects.

Job Accountability:

  1. Receive PO from the US (Whizz) to start a new or existing project

  2. To confirm final fabrication and BOM files with Whizz to make sure board is ready for

manufacturing

  1. Give CTB (clear to build) date to Whizz

  2. Receive and check XY/pick and place file, assembly files and assembly drawing in PDF from US of

customer

  1. To check Netlist file, drill file, and other necessary files in the Gerber package for fabrication

  2. Update whiteboard and production board with job number, ship dates and FAB quantities

  3. To send Gerber files to FAB house to start FAB

  4. To follow up with FAB house

  5. Follow-up and make sure the ship date given by FAB house does not exceed the timeline, and

follow up to check if any delay.

  1. Get the tracking number of shipment from FAB house and inform it to US

  2. To track the shipment until it is received by USA

  3. To send BOM to Material Dept. USA to start procurement

  4. Coordinate with Material Dept. of the time of receiving all BOM items

  5. Receive MIR (Material Issue report) form Material dept. and add FAB ship dates and send to Whizz

  6. Check if kit (BOM) from Material Dept. has been received and ready for assembly

  7. Send Assembly files (XY/Pick and Place file, assembly files & assembly drawing, panelized files) to

WHIZZ

  1. To follow up with US for ship log report

  2. Maintain Xilinx inventory for all consigned items and keep track for incoming and outgoing items

from US and Malaysia

  1. Receive weekly ship logs report form US and open PO from customer to compare for any

discrepancies and report the same to the customer or US

  1. To provide quarterly detailed inventory report to customer and make sure that the report of

customer tally with the report of PM Dept.

Project Coordinator

  1. Maintain Xilinx Vendor Management Inventory (VMI) on daily basis

  2. To make sure that JSI has required quantity in stock part numbers which comes under VMI

  3. To check with JSI on any outgoing shipments to Xilinx

  4. To give reminder to US Dept. to invoice for shipments JSI has delivered to Xilinx

  5. Inform US and Malaysia to replenish a quantity for the projects which comes under VMI

  6. Inform the PO numbers to Malaysia for the shipments of boards to be delivered to JSI/Xilinx

  7. To inform Xilinx for the weekly shipments Whizz delivered to JSI

  8. Check for any outgoing for PCBA from US and incoming of PCB and BOM from US/Malaysia

  9. To collect report from Malaysia and US on weekly progress

  10. Subtract the quantity of outgoing shipments from WIP report

  11. To compare open PO report with WIP report to make sure that the required left over quantity can

be covered by Whizz

  1. To update WIP report with all above information and send it to Xilinx

  2. Receive layout projects job numbers from Whizz

  3. Check with Whizz which jobs are manufacturing

  4. To get ETD for the layout to be finalized

  5. Ask for FAB and BOM preliminary files to get a quote

  6. To check for any special material, if required, inform Whizz on material lead time.

  7. Get updates form Whizz to finalize work on estimated time.

  8. To receive the layout files to start FAB

  9. Be punctual and observe the leave and attendance policies of the Organization

  10. Observe all code of conduct as devised by the Organization from time to time
